About the role
AgelessRx’s Senior Manager of Clinical Operations oversees day-to-day clinical operations, ensuring that tasks are effectively prioritized, workflows run smoothly, and all team members have the support needed to deliver high-quality patient care. By collaborating with prescribers, RNs, and cross-functional partners (e.g., Product, Compliance, and Customer Support), this role helps keep projects on track, identifies operational improvements, and drives efficiency across the Medical and Clinical Team. The right candidate will be solutions-focused, thrive in a fast-paced environment, and excel at balancing multiple priorities while maintaining strong communication and stakeholder alignment.
Ideal candidates will exhibit outstanding communication skills, bring strong project management experience with a focus on clinical operations, excel at managing multiple concurrent projects, and maintain a process-improvement mindset to identify inefficiencies and implement practical solutions.
What you'll do
- Serve as the primary point of contact between the Clinical/Medical Team and key operational departments (e.g., Customer Experience, Product, Tech), ensuring clear communication, alignment of priorities, and timely issue resolution.
- Oversee the patient check-in process by managing the Clinical Support Team, implementing strategies to improve efficiency, and ensuring patient workflows run smoothly from scheduling to the point of care.
- Collaborate with the Medical Team Lead to develop training materials for prescribers, ensuring content meets organizational objectives and compliance standards.
- Coordinate with General Operations to support product and service launches from a clinical perspective. This includes preparing prescribers, reviewing clinical protocols, and ensuring readiness on the Medical/Clinical side—but not managing the overall product launch itself.
- Analyze and improve clinical workflows (e.g., charting, documentation) to reduce bottlenecks, enhance prescriber efficiency, and maintain high standards of patient care.
- Develop and track performance metrics for the Clinical Support Team and prescribers, addressing productivity challenges and driving continuous improvement.
- Identify and implement process improvements across clinical operations, leveraging feedback from patients, prescribers, and cross-functional partners to optimize care delivery.
- Ensure compliance with relevant healthcare regulations and internal standards, partnering with compliance officers and leadership to address any identified gaps or risks.
Qualifications
- Education & Experience
- Bachelor’s degree in Healthcare Administration, Nursing, Public Health, Business Administration, or a related field; Master’s degree is a plus
- 4–6 years of experience in clinical operations, healthcare project management, or a related role
- Prior experience supervising or coordinating a clinical team (RNs, MAs, or allied health professionals) is highly desirable
- Project Management & Process Improvement
- Demonstrated track record of successfully leading multiple projects simultaneously
- Proficiency in project management methodologies (e.g., PMP, Lean, Six Sigma) or a willingness to become certified
- Proven ability to identify operational gaps and implement process improvements that increase efficiency and quality
- Collaboration & Communication
- Excellent verbal and written communication skills, with the ability to liaise between clinical staff, prescribers, and cross-functional teams
- Strong relationship-building and stakeholder management skills to drive alignment and prioritize initiatives
- Training & Documentation
- Experience coordinating training materials for clinical teams (e.g., RNs, prescribers) in partnership with subject matter experts
- Proven ability to organize, track, and maintain documentation and resources to ensure compliance and consistent staff onboarding
- Comfort working with (and learning) various tech or LMS platforms to support training and documentation efforts
- Technical & Analytical Skills
- Familiarity with clinical workflow systems (EMRs, telehealth platforms, scheduling software)
- Basic data analysis skills to monitor KPIs, measure outcomes, and provide actionable insights
- Compliance & Quality Assurance
- Understanding of healthcare regulations and best practices in a telehealth or clinical setting
- Willingness to partner with Compliance Officers and clinical leadership to uphold standards and mitigate risk
