The Program Coordinator is responsible for coordinating program management activities by performing tasks related to data tracking, analysis, and implementation of results that meet the goals/objectives of the department.

Overview 

The Department of Global Pediatric Medicine (GPM) is a new and growing department looking for dynamic professionals who are eager to implement the St. Jude Global (SJG) mission of taking St. Jude to the world by training the clinical workforce, developing, and strengthening health systems and patient-centered initiatives, and advancing knowledge to sustain continuous improvement through research. 

GPM is seeking a proactive Program Coordinator for the SJCARES Registry Program. This position will focus on designing, coordinating, and implementing registry projects spanning from epidemiologic analyses to quality improvement data collection standards.

The SJCARES Registry is a global hospital based pediatric cancer registry and reporting system that collects key actionable data to support quality improvement initiatives with the aim to positively impact the quality of care delivered while strengthening research capacity in LMIC. Responsibilities include: 

  • Provide administrative and operational support, including scheduling, resource coordination, and stakeholder communication.

  • Assist in managing program coordination by tracking timelines, budgets, and deliverables.

  • Supports coordination of registry advisory committee and research activities. 

  • Coordinate key meetings and workshops, including logistics, preparing agendas, sending invitations, and maintaining meeting minutes and key documentation.

  • Support the program and related project implementation across global regions.

  • Support coordination between internal teams, external partners, and leadership to ensure smooth and effective communication and collaboration.

  • Coordinate, support, and participate in the development of multiple projects to strengthen existing registry procedures and expand outcome measures.

  • Support the creation, review, and improvement of program-related processes and documentation of standard operating procedures and policies.

  • Monitor and compile reports on program progress, maintaining key documentation and assisting with workflows and process creation and improvements to enhance program effectiveness.

  • Support the development, and tracking of project and program workplans and budgets, ensuring alignment with program and departmental goals.

  • Research, document, and disseminate relevant information, including preparing and delivering presentations and reports. 

  • Assist with contract preparation and oversight, ensuring compliance and managing logistical details as needed.

  • Perform other duties as assigned to meet the goals and objectives of the department and institution.

Minimum Education 

  • A bachelor’s degree in a related field is required.

  • A master's degree in an appropriate field is preferred (MHA, MBA, MPH, Medical Sciences, Quality)

Minimum Experience 

  • 3+ years of experience in Program Management Delivery.

  • Significant experience working with project planning tools (e.g., MS Project, Microsoft SharePoint, ServiceNow, Smartsheet, Clarity, Planview, MS Office).

  • Proven performance in earlier role

  • Experience in clinical research, or population-based registries preferred

  • Experience with quality improvement, implementation science methodologies or global work preferred,

  • General knowledge of medical, scientific, and technical terminology used in clinical / healthcare research

  • Strong Organizational & Time Management Skills – Ability to track multiple tasks, deadlines, and program deliverables.

  • Effective Communication & Collaboration –Exceptional interpersonal communication and negotiation skills.

  • Skills in providing a culturally sensitivity work environment for diverse teams and collaborators

  • Experience working remotely across geographically and linguistically diverse teams

  • Ability to maintain a strict level of confidentiality and courteous and professional demeanor.

  • Attention to Detail & Documentation – Ability to maintain accurate records, reports, and meeting notes. Ability to attend to details in data, calculations, logic.

  • Administrative & Operational Support – Experience with scheduling, resource coordination, and stakeholder communication.

  • Project Coordination & Process Improvement – Ability to assist with workflow efficiencies and identify areas for enhancement.

  • Workplan & Budget Support – Understanding of how to help maintain and align workplans and budgets with program goals.

  • Contract & Compliance Support – Ability to assist with documentation and ensure adherence to policies and requirements.

  • Skill and ability to operate independently and collaboratively as part of a team 

  • Ability to direct and train other personnel 

  • Flexibility to travel (estimated 30%) for on-site facilitation is required.

  • Fluency in a second language is preferred. 

  • Ability to anticipate, manage, and adapt to change

  • Local candidates or candidates willing to relocate to Memphis are preferred.

  Knowledge and skill with word processing, spreadsheets, email, databases, and presentations, proficiency with computer software applications (e.g., Microsoft Word, Excel, PowerPoint, Outlook, SharePoint) required.

Compensation

In recognition of certain U.S. state and municipal pay transparency laws, St. Jude is including a reasonable estimate of the compensation range for this role. This is an estimate offered in good faith and a specific salary offer takes into account factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the salary range and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current salary range is $70,720 - $126,880 per year for the role of Program Coordinator - SJCARES Registry Program, Department of Global Pediatric Medicine.
