Job Description

The IFS payroll process is outsourced to a global company, CloudPay, and currently includes 33 payrolls in 23 countries. The successful candidate will be responsible for the management of the 2 Payroll Specialists who administer the semi-monthly payroll for over 800 U.S. employees and the bi-weekly payroll for 300+ Canadian employees. You will be required to work closely with key stakeholders across the business including HRIS, finance, and internal/ external audit.  You will work with HR, finance, and employees to problem-solve issues, address concerns, and ensure accurate and timely processing of payroll. This role must stay abreast of all federal, state, and local legislative changes and trends related to payroll to ensure compliance.

This position is a remote opportunity. Eastern and Central time zones preferred. 

Tasks include but are not limited to:

  • Report into the Global Head of Payroll, based in Ireland, working closely with them and the Global Payroll Manager, based in Sri Lanka, whilst being capable of working on their own initiative.
  • Experience of Cloudpay payroll systems – understanding the requirements of IFS and ensuring all payroll team members have the correct support
  • Strong abilities in Excel, able to use current documentation and creation of new reports as required
  • Year-End processing and reporting obligations
  • Experience in setting up of payrolling benefits
  • Ability to train others in the use of Cloudpay, act as the IFS super user within this field
  • Be the first point of escalation for Cloudpay related issues
  • Good knowledge of in-country requirements to lead on implementation of new payrolls into the Cloudpay suite
  • Maintain good working relationship with peers within IFS and direct reports
  • End to end payroll implementations/new entity set ups
  • Full understanding of the interdependencies with Finance for GL reporting
  • Maintain payroll guidelines (SOP’s)
  • Provide data for internal and external payroll audits
  • Keep up to date with best practices, trends, and relevant legislation to ensure there is no business exposure.
  • Manage and ensure all Payroll Tax Notices, Quarterly Tax Return Review is completed and approved, all New tax code setup in CP and GL mapping is completed correctly adhere all vendors are notified and internal Payroll/Finance members are informed
  • Manage and ensure all Unemployment Claims Management Process
  • Ability to manage the annual calendars for each payroll and to lead discussions with local IFS teams, Cloudpay and local providers in ensuring achievable dates are proposed and adhered to.
  • Maintain the Cloudpay User Management report, addition, removal, and amendment of users as required
  • Ensure US and Canada payrolls are processed in a timely and accurate manner
  • Provide guidance, coaching, leadership and recommendations on how to improve the current CloudPay Process of your direct reports
  • Review complicated computed wages calculations and correct errors to ensure accuracy of earnings
  • Ensure all deductions are compliant with all federal & state wage laws
  • Check non-exempt personnel timesheets for accuracy and approvals
  • Manage the Payroll processing of IFS system, import expense reimbursement
  • Oversee the process of quarterly and annual bonuses, garnishments and Deductions Review and download reports from Cloudpay
  • Prepare various payroll and management reports each payroll
  • Oversee the distribution of W2 forms for all US Employees
  • Payroll ad hoc reporting as needed

 

Qualifications

  • Excellent interpersonal skills and the ability to manage multiple tasks simultaneously.
  • Strong technology aptitude with excellent MS Office suite skills
  • Be agile, collaborative and trustworthy and maintain strong peer group relationships
  • Enjoy working in a fast-paced global environment
  • Adapt quickly and have a positive response to change
  • Have a good understanding of payroll principles - payments, deductions, and employer costs
  • Able to ensure data integrity, system efficiency and quality in the payroll process, whilst also understanding the impact for changes not only within payroll system but in finance as well
  • Have a track record of continuous improvement and measured success and the ability to improve and drive excellence in a critical function
  • Capable of working to deadlines and adapting to changing conditions
  • Degree qualified or equivalent experience
  • Payroll Professional Certified  - CPP/APA or equivalent.

Experience

  • Working with North American payrolls is essential, with a minimum of 5 years experience,  
  • CloudPay/ADP/other systems
  • Strong knowledge of payroll administration, taxes, and regulations
  • Proven ability to lead a team of two or more direct reports
