As the Executive Assistant, you will provide essential administrative support to the President and general office support for the wider team. You will interact regularly with staff members, clients, and be considered a trusted team member, requiring sound judgement and discretion. Your role will significantly free up the President by managing their schedule, emails, sales process, client billing, and client service. You will be the President’s right hand person and involved in many aspects of the business.
In this role, you will:
📅 Schedule appointments and maintain calendars.
📧 Monitor the President’s emails and handle basic correspondence or escalate as necessary.
📈 Ensure President is prepared for prospect, client, and business development meetings.
🤝Proactively help President stay organized and on top of her work.
📝 Coordinate team meetings and document weekly meeting minutes.
💼 Support the sales process by preparing client invoices and manage payments to vendors and subcontractors.
📈Help track information and expenses in spreadsheets
👥 Manage staff onboarding.
📋Maintain Human Resource workflows and projects.
📋Manage client onboarding and offboarding
📧 Maintain email contact information in the CRM and electronic filing system and save client documents to Google Drive.
📋 Act as a resource to other staff members, reviewing documents and making recommendations.
📢 Provide direction and guidance to other staff members as needed.
🛠️ Provide client management and support to include coordinating documents, gathering information and sharing internally and with outside contractors and tracking to ensure completion
👥Attending meetings with the President to take notes and implement the next steps using Monday.com, Slack, or other means to move the tasks discussed in the meeting forward.
📊 Manage administrative client projects.
Working Hours ⏰:Full-time - Working till ideally from 6:00am EST to 15:00pm EST time. However there is flexibility dependent on the day.
Requirements
To excel in this role, you need to have:
✅ Over 2 years of experience in either an executive assistant, administrative assistant or office support position.
✅ Must be Tech Savy : Proficiency in Google Office projects, Google Sheets and excel.
✅ Strong skills in email and calendar management, serving as a reliable right-hand support.
✅ Have a background working for a law firm or professional services environment.
✅Proficient in quickly learning and adapting to new technologies.
