Manager Legal Operations

Overview 

 

The Legal Operations Manager will work closely with the General Counsel, Vice President of Legal and other business partners within the company to achieve the department’s strategic goals.  Primary responsibilities include creating, implementing and sustaining processes and procedures to improve efficiency and effectiveness of the legal department and control costs. 

 

Responsibilities 

  • Legal Technology:
    • Day-to-day oversight of legal department tools such as Legal Tracker, SharePoint, and OpenText, and identifying improvements to workflow, intake and reporting, to drive efficiencies and cost-savings for the department 
    • Manage integration of e-billing
    • Manage data reporting and identify trends and efficiency optimization
    • Identify and recommend technology improvements to optimize processes where feasible and cost-effective
    • Manage service of process and the Legal Department’s relationship with the Company’s registered agent
       
  • Budgeting & Financial Management Support:
    • Partner with senior team members to develop and report on operational and substantive metrics for the legal department, including providing day-to-day advice on legal budget and spend management and monthly accrual reporting
    • Act as liaison between the Legal Department and Finance with respect to invoicing, budgeting and accruals
    • Manage financial reporting on monthly, quarterly and annual basis
       
  • Outside Counsel & Vendor Management:
    • Develop and implement processes and procedures to manage outside counsel usage and spend
    • Manage administrative aspects of outside counsel and vendor relationships including onboarding, invoicing and accrual submission
    • Manage day-to-day administration of Legal Tracker, including matter management, invoice approval and timekeeper rate negotiation
       
  • Project & Process Management:
    • Assist with and manage a variety of Legal team needs and initiatives including defining project scope, monitoring timelines and deliverables
    • Support Legal Department with document collection, execution of legal agreements and record retention
    • Support Legal Department with E-Discovery including hold administration, data management and reporting to IT
    • Develop and maintain databases for the Legal team, including software and process inventories and internal knowledge sharing material
    • Proactively identify new policy and process changes based on new laws and regulations
       
  •  Legal Training Program:
    • Partner with Human Resources on the creation and rollout of new employee training programs

Qualifications 

  • Bachelor’s degree preferred with a minimum of 7 years experience in a paralegal or legal operations role in a law firm or in-house legal department, or equivalent combination of education, training and experience
  • Detail oriented
  • Ability to communicate effectively both verbally & written
  • Proven ability and willingness to keep sensitive information confidential
  • Ability to function with minimal supervision and make decisions in coordination with counsel and/or business partners
  • Financial acumen, negotiation and legal pricing experience
  • Experience with legal matter management and e-billing systems, and proficiency with Microsoft Office Suite
  • Experience with legal filings, deadlines, and research

Salary Range 

 

The base pay for this position in the United States is $90,000.00 per year; however, base pay offered may vary depending on location, job-related knowledge, education, skills, and experience.
