Executive Assistant

Overview: This Executive Assistant will provide high-level administrative support to executive leadership, ensuring the smooth and efficient operation of their office and contributing to the overall success of the organization. This position requires exceptional organizational skills, attention to detail, discretion, and the ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.
Key Responsibilities:
- Calendar and Schedule Management:
- Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Coordinate logistics for meetings, conferences, and events, including room bookings, catering, and audiovisual equipment setup.
- Communication and Correspondence:
- Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing incoming communications.
- Draft and prepare emails, memos, reports, presentations, and other correspondence on behalf of the executive, ensuring accuracy and professionalism.
- Travel Coordination:
- Arrange complex travel itineraries, including flights, accommodations, transportation, and visas, ensuring cost-effectiveness and adherence to travel policies.
- Prepare travel expense reports and reconcile expenses in a timely manner.
- Meeting Coordination and Support:
- Coordinate and prepare materials for meetings, including agendas, presentations, and supporting documents.
- Attend meetings, take detailed notes, and distribute meeting minutes and action items to relevant stakeholders.
- Follow up on action items and deadlines to ensure timely completion.
- Project Coordination and Support:
- Assist with special projects and initiatives as assigned by the executive leadership team.
- Coordinate cross-functional project teams, track project milestones and deliverables, and provide administrative support as needed.
- Confidentiality and Discretion:
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Maintain confidentiality of executive communications, documents, and meetings.
Requirements:
- 2-3+ years of experience as an executive assistant or administrative assistant, supporting C-level executives or senior leadership.
- Proficiency in Google Suite and other office productivity tools.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
- Strong organizational skills, with the ability to prioritize tasks, manage time effectively, and meet deadlines in a fast-paced environment.
- Attention to detail and accuracy in all work tasks.
- Ability to work independently with minimal supervision and as part of a team.
- Discretion and professionalism in handling confidential information and sensitive matters.
