Summary:
In this role, you will manage all aspects of approximately 60 corporate meetings each year, delivering comprehensive, start-to-finish event planning services. You will apply your strong organizational skills, keen attention to detail, and a commitment to providing exceptional customer service. You will excel in a fast-paced, demanding environment where you will balance multiple ongoing events with shifting priorities.
Responsibilities:
- Collaborate with internal stakeholders to design, plan, and execute events from initial concept through final delivery.
- Manage all logistical elements of events, including venue coordination, catering, audiovisual setup, transportation, vendor sourcing, and administrative support.
- Establish, communicate, and maintain clear timelines, milestones, and priorities for each event.
- Lead the planning and execution of all aspects of corporate events, ensuring alignment with business goals and brand standards.
- Manage supplier relationships by developing RFPs, sourcing vendors, negotiating and reviewing contracts, conducting site visits, and overseeing services such as food and beverage, lodging, A/V, and production.
- Track and manage event budgets and calendars, ensuring cost-effective planning while maintaining high-quality service and experience.
- Provide on-site support to ensure smooth execution of all event elements and address any real-time issues as they arise.
Qualifications:
- Relevant degree in a related field preferred.
- 2 or more years of experience in corporate event planning required.
- CMP (Certified Meeting Professional) or CMM (Certificate in Meeting Management) certification preferred.
- Proficiency with event registration platforms and project management tools (e.g., Smartsheet and Microsoft word and excel).
- Exceptional organizational, time management, and customer service skills with a keen eye for detail.
- Proven experience in contract negotiation and vendor management.
- Excellent verbal and written communication skills.
- Ability to manage multiple events simultaneously while meeting tight deadlines with precision.
- Willingness to travel for on-site event support as needed
Estimated Hiring Range:
At Vizient, we consider skills, experience, and organizational needs in our compensation approach. Geographic factors may adjust the range estimate and hires typically fall below the top range.
