Job Description:

GDIT has been supporting the IHS mission for 20+ years; working with the agency to provide integral services to raise health access and availability to 2.6 million American Indians and Alaska Natives. You'll be part of modernizing the EHR platform to enable better data access, patient experience, and quality of care for 567 tribes, 37 states and over 600 medical facilities.

Our work depends on an Event Coordinator joining our team to support the Indian Health Service (IHS) Electronic Health Records Modernization (EHRM) program. As an Event Coordinator supporting the IHS EHRM program, you will be responsible for supporting the PMO for contract management execution support.

The primary responsibility in this position will be event planning for the program including IHS team members and subcontractors. You will work with the respective event owner to ensure everything is completed within the allotted times needed. We are looking for a highly motivated and well-organized individual who will take an ownership mentality for the planning and success of the events. The Event Coordinator will present a high-level kick off to all internal team members prior to each event outlining the high-level information of the event.

This position is fully remote with some travel to the events as needed.

HOW AN EVENT COORDINATOR WILL MAKE AN IMPACT:

  • Work directly with the event owner to ensure logistics, traveler/attendee lists, and other event materials are prepared and delivered prior to the due date
  • Reserve event space for events as needed based on size and need of event
  • Coordinate with third party vendors for logistics as needed
  • Coordinate with internal GDIT Supply Chain as needed for purchases
  • Develop location guides for internal stakeholders
  • Develop meeting guides for internal and external stakeholders
  • Work collaboratively with client Event Planning Team
  • Work collaboratively with sub-contracted event planning team, working as one team
  • Be the driver and check that each and every step in the event process is being completed in the required timeframe
  • Perform administrative and analytical tasks in support of a contract program
  • Compile and Contribute to Weekly Status Meeting Minutes, Monthly Progress Reports, and Monthly Financial Reports, as needed
  • Provide project coordination support to federal leadership/project managers and the GDIT team to ensure that contracts are well organized and running smoothly, including coordinating information and deadlines across projects, managing document repositories, assist in developing project artifacts, and being a trusted resource to the GDIT team
  • Interact regularly with customers and other industry representatives to ensure successful events
  • Extracts or compiles data from supporting management systems to provide managers with summaries or reports
  • May supervise others

REQUIRED QUALIFICATIONS AND EXPERIENCE:

  • Bachelor’s degree or equivalent combination of education and experience
  • 5+ years of consistent event coordination within a medium to large company
  • Experience researching event spaces, interacting with vendors, providing status updates, and keeping track of budgets
  • Proficient in Microsoft Office Suite, specifically Word, Excel, PowerPoint, and Visio
  • Must be able to obtain a Public Trust Level 5 clearance
  • Ability to travel up to 25% of the year, if needed

DESIRED QUALIFICATIONS AND EXPERIENCE:

  • 8+ years of relevant event experience
  • Experience supporting federal contract program manager
  • Task management experience and/or skills
  • Proficiency with Adobe Acrobat Professional
  • Excellent organizational and time management skills; ability to manage frequently changing priorities of competing importance
  • Ability to communicate and interact effectively with internal/external teams including key stakeholders and customers
  • Ability to work independently with minimal supervision and within tight deadlines, following detailed written policies, processes, procedures, and work instructions
  • Ability to produce high-quality documentation that contributes to the overall success of our program

The likely salary range for this position is $76,500 - $103,500. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
