Contracts and Procurement Coordinator

National Forest Foundation (NFF) is pleased to offer an exempt, full-time, 2-Year term position to a candidate who will coordinate outgoing service contracts, purchases, and other similar actions to advance conservation investments nationwide.

Position Function: The Contracts and Procurement Coordinator reports to the Contracts and Procurement Manager – Attorney and works closely with Conservation Awards and field program staff to coordinate the procurement of services and goods for conservation activities through contract management and administration. This position supports NFF contracting and procurement policies while ensuring compliance with funding terms and conditions, 2 CFR 200 compliance, and compliance with internal policies and procedures throughout the contracting lifecycle. General responsibilities also include partnering closely with internal teams to review and understand the contractual requirements from RFP to contract execution, serving as an important point of contact for the field team, and offering solutions to mitigate contractual risk.
Position Duties and Responsibilities: The Contracts and Procurement Coordinator is responsible for the following:
- Work with staff leads to develop procurement strategies for pending solicitations and assist in the development and review of requests for proposals and requests for quotes.
- Review contract/amendment language for consistency with NFF policies and requirements and provide input to the appropriate individuals or teams on matters that may require additional review to proactively reduce negative impact on the organization.
- Review and draft contracts/amendments and negotiate proposed changes with project leads and vendors.
- Review and recommend language updates to contract and RFP/RFQ templates.
- Review and finalize procurement documentation for conformance to standards, ensuring accurate records for audit and reporting purposes.
- Serve as a resource to staff and prospective vendors, answering questions and guiding each through defined processes.
- Ensure compliance with relevant procurement and contracting policies and procedures.
- Train and mentor staff on current procurement processes and requirements.
Location: The location for this position is flexible throughout the US. This position is a remote/work from home position and requires reliable internet access and a dedicated workspace.
Compensation: The NFF offers competitive compensation and benefits and has recently implemented a new compensation program as part of our commitment to transparency. The salary range for this position will be in the $56,000 to $70,200 range and may be eligible for locality adjustment in many geographies. Please note that the indicated salary range describes the full range for an incumbent in this position, new staff will generally start near the base end of the range. The NFF is committed to internal salary equity.

Education and Qualifications: NFF expects the Contracts and Procurement Coordinator to possess the following educational and experiential qualifications:
- Bachelor’s degree or professional certification, and at least three years of experience in contract administration and compliance, contract management, procurement and acquisition, or related fields.
- Paralegal certificate or legal contract experience is a plus.
- Experience working on large-scale ecological fuel reduction, construction, recreation infrastructure, or habitat improvement projects a plus.
- Knowledge of natural resource issues and/or the USDA Forest Service preferred.
Abilities and Skills: The Contracts and Procurement Coordinator is expected to possess the following proven abilities and skills:
- A strong attention to detail and commitment to the process.
- Knowledge and comfort with contracting and procurement using federal and nonfederal funds.
- Meaningful experience with 2 CFR 200, FAR, and other similar/related regulations.
- A working understanding of risk management through performance security, bonding, and insurance.
- Ability to quickly synthesize or translate technical requirements into lay terminology.
- Ability to balance multiple competing priorities and prioritize effectively.
- Ability to understand the needs of field program staff and balance those with NFF policies and funding agreement requirements.
- Strong customer service, troubleshooting, and creative problem-solving skills.
- A good sense of humor and ability to work well under tight deadlines.
- Ability to communicate in a clear and professional manner through excellent written and oral communication skills, as well as excellent interpersonal skills.
- Excellent analytical skills.
- Excellent computer skills, with high proficiency in Microsoft 365; experience working with Microsoft Dynamics a plus.
- Ability to work independently with limited oversight and support.
- Willingness to be available to train, mentor, or assist program staff.
