The TÜV SÜD America Academy team plays a critical role in supporting our customers with the development of knowledge and skills. It starts with how we help them identify their development needs and continues through delivering outstanding training courses.
We are looking for a detail-oriented, customer-focused and organized Academy Administrative Support to join our team. The Academy Administrative Support is essential in supporting the Academy Team by assisting with various processes related to training courses and programs offered to our clients. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a passion for employee development.
Key responsibilities include, but are not limited to:
- Manage the training management system to maintain an accurate training portfolio, including updating communications related to training events and programs, creating templates, and ensuring data integrity.
- Provide administrative support to the team and Academy Advisors, including coordinating training registrations, approvals, and participant management.
- Track billing information and open payments, update the invoice report weekly, follow up with the finance team, and issue invoices to Academy clients.
- Administer the issuance of exams and certifications, managing the entire process, including platform mastery and customer communication regarding inquiries.
- Assist in coordinating product development projects and providing technical support to ensure timely delivery and alignment with department goals.
- Assist in monitoring and reviewing course content for accuracy and relevance, collecting feedback, and suggesting improvements. Provide support to the Product Manager in updating training programs and materials.
- Support the Product Manager in conducting market research to identify current trends in the training industry and assist in performing needs assessments to tailor training products for our target audience.
- Perform other tasks as assigned.
Work Schedule:
This is a remote position; however, candidates must reside in the vicinity of Monterey, MX, and be able to attend onsite department meetings as required
Qualification
- An associate’s to Bachelor’s degree/diploma with 2-3 years of professional experience in a related setting (Event coordination/planning, Project Coordinator, Executive Assistant) is preferred.
- Experience working with training management systems or similar business management software preferred
- Intermediate proficiency in Excel.
- Computer savvy and ability to learn new software.
- Ability to organize, multi-task and prioritize work; problem-solve while meeting tight timelines.
- A positive, energetic, collaborative, and flexible team player who excels in a fast-paced environment and is willing to support a variety of activities as needed.
- Strong initiative, work ethic and ability to deliver results with little oversight; demonstrates good judgment.
- Highly organized and able to manage and coordinate schedules for a team.
- Strong written and verbal communication in English language required.
- Excellent presentation, administrative, and communication skills.
- Ability to communicate effectively with diverse audiences across varying skill levels and seniority, with strong verbal and written communication skills required in both English and Spanish.
