Underwriting Administrative Coordinator
CAN, Nova Scotia - Full Time Remote
Our Individual Insurance Underwriting administrative coordinators, responsible for the workflow management, administrative operations of our Underwriting operations, are integral to supporting our business growth strategy in the increasingly digital insurance-buying environment, where simple processes and quick decisions are table stakes. They coordinate, supervise the workflow assignment and balance underwriters’ queues to meet productivity, quality, and compliance standards within established turnaround times.
They request systems access for new employees, validate and record underwriters’ approval limits when they are granted, more approval authority following audits, promotions or when underwriters acquire new skills. They assist the Risk team in performing risk-based monitoring of our systems, tools and reporting while providing assurance to our Underwiring Leadership Team, Product Risk Management, and our reinsurers that our underwriting systems and processes are aligned to both company policy and regulatory requirements. They rely on their diligence depth and breadth of underwriting experience, curious nature, drive for continuous learning and improvement, and enthusiasm for using data insights to continuously evolve how we manage risk.
Position Responsibilities:
Review new business work allocation each morning and assign work underwriters based on predetermined and authorized work type, age, and amount, product, and advisor status. Identify inefficiencies in the way the system automatically assigns work and flag system improvements or update current settings. Identify combo files and assign them to one underwriter. Establish guidelines and processes. Support management with underwriting operational efficiency and recommend system enhancements. Consult with Case coordination as needed with respect to Arrow workflow, copy over of tele interviews from one file to another for the same client and monitor any trending
Flag to the risk management team all potential issues that could lead to risk by performing an audit when new approval limits are granted to underwriters, when onboarding new employees, or when employees leave the team. Support risk management programs as assigned. Identify reasons why the automatic work allocation kicks out work assignment and alert the Risk team on system validation when it comes to our artificial intelligence algorithm. Serve as a subject matter expert for MIB follow ups and disputes. Coordinate and support management with internal audits. Build and maintain strong relationships across IIC, Operations, Group Risk, and with other stakeholders such as reinsurers. Assist the leadership team with new employee’s access requests when onboarding or offboarding. Assist leadership with paying invoices via account payable tools.
Monitor Reinsurance inboxes and post decisions promptly so that underwriters can make their decisions and issue the contracts to our advisors. Effectively manage Reinsurance FAC cessions. Work effectively with team members to minimize backlogs.
Support management with effective workload management. Assist management with internal underwriting manual access and removal for Ondex.
Required Qualifications:
Strong administrative coordination skills.
Strong knowledge of Manulife’s Individual Insurance business/products and operations across underwriting, new business, policy service.
Intermediate or higher experience with MS Office suite including Excel, PowerBI and PowerPoint, with a desire and ability to develop advanced skills.
Curiosity combined with strong analytical skills; ability to define and resolve problems.
Demonstrated ability to prioritize and work independently under tight deadlines daily.
Growth mindset with ability to be flexible and exercise judgment in a changing high volume high pace environment.
