The Information Technology Department at the Wisconsin Historical Society (WHS) manages the technology and computer infrastructure that drives the Agency’s business systems and automation requirements. The IT department manages infrastructure, software, and technical workflows that support the WHS's numerous program areas, 12 historic locations around the state, and its headquarters building in downtown Madison, WI.

Qualifications:

*WORK STUDY REQUIRED*
Currently enrolled as a student in a relevant field (e.g., Information Technology, Computer Science, Technical Writing, Communications)
Strong written and verbal communication skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Basic understanding of IT concepts and terminology
Attention to detail and strong organizational skills
Ability to work independently and as part of a team

Knowledge, Skills & Abilities:

Experience with technical writing or documentation
Experience with WordPress or similar Web Content Management Systems
Familiarity with graphic design tools (e.g., Adobe Illustrator, Canva)
Previous experience in an communications or technical writing role

Position Summary/Job Duties:

Under the general supervision of the Deputy IT Director, the Wisconsin Historical Society IT department is seeking a motivated and detail-oriented student worker to assist with internal communications, technical documentation, and the development of job aids. This role is ideal for a student interested in gaining hands-on experience in IT support, technical writing, and communication within a professional environment.

Key Responsibilities:
• Internal Communications:
o Assist in drafting, editing, and distributing internal communications, including emails, newsletters, and announcements.
o Maintain and update the IT department’s internal communication channels, such as intranet pages and other guides.
o Collaborate with team members to ensure consistent and clear messaging as well as accuracy.

• Technical Documentation:
o Create, update, and maintain technical documentation, including user manuals, FAQs, and troubleshooting guides.
o Work with IT staff to gather information and ensure accuracy and clarity in documentation.
o Organize and manage electronic filing systems for easy access and retrieval of documents.

• Job Aids Development:
o Develop job aids such as step-by-step guides, checklists, and flowcharts to assist staff with common IT tasks.
o Create visual aids, including diagrams and infographics, to enhance understanding of technical processes.
o Conduct usability testing to ensure job aids are effective and user-friendly.
