Sr. Workplace Program Manager

About the Role
Abnormal Security is seeking a highly organized and proactive Senior Workplace Coordinator to manage our East Coast regional hub and oversee events. This role will be responsible for ensuring the smooth operation of the office environment, enhancing employee experience, and coordinating regional events. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently.
The ideal candidate will work independently reporting to the Head or Real Estate and Workplace. The candidate will be responsible for leading and executing corporate programs within the region with a customer service mindset. Candidate should have experience in working and supporting a Remote First environment.
About You
- Office Management:
- Oversee the day-to-day operations of the regional office, including office layout, supplies management, and maintenance.
- Ensure the office environment is safe, clean, and conducive to productivity.
- Liaise with vendors and service providers to maintain office facilities and equipment.
- Manage office budget, including tracking expenses and optimizing costs.
- Event Coordination:
- Plan, coordinate, and execute regional events, including meetings, conferences, and team-building activities.
- Collaborate with internal stakeholders to understand event requirements and deliver high-quality experiences.
- Manage event logistics, including venue selection, catering, AV equipment, and transportation.
- Monitor event budgets and ensure events are delivered on time and within budget.
- Employee Experience:
- Enhance the overall employee experience by creating a welcoming and engaging workplace atmosphere.
- Serve as the main point of contact for employee inquiries related to office services and facilities.
- Implement initiatives to promote a positive work environment and improve employee satisfaction.
- Communication and Collaboration:
- Work closely with the Facilities and HR teams to align office operations with company policies and objectives.
- Communicate effectively with staff and stakeholders to provide updates on office-related matters.
- Foster a culture of collaboration and teamwork within the office.
- Health and Safety:
- Ensure compliance with health and safety regulations within the office.
- Conduct regular safety inspections and implement corrective actions as needed.
- Coordinate emergency response procedures and training.
Working Conditions:
- This role is based in New York, New York and may require occasional travel within the region.
- Some flexibility in working hours may be required to accommodate events and office needs.
Must Have
- Bachelor's degree in Business Administration, Facilities Management, or a related field preferred.
- Minimum of 5 years of experience in office management, facilities coordination, or event planning.
- Strong organizational and project management skills.
- Excellent interpersonal and communication skills.
- Ability to work independently and handle multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite and other relevant software.
- Bachelor's degree in Business, Real Estate, Architecture or equivalent work experience; MBA preferred
- 10+ years of experience in culture-focused strategic leadership roles, including global leadership experience
- Experience driving workplace strategy as a key component of company culture, utilizing a collaborative approach
- Knowledge of design, general construction, and project management in a global setting
- Demonstrated business strategy and planning experience
- Proven track record of managing a global budget and team, solid business relationship management, and vendor management skills. Good risk assessment and judgment ability
- Proactive and solutions-oriented mindset.
- Attention to detail and commitment to delivering high-quality work.
- Experience in a corporate or regional office environment.
- Familiarity with workplace technology and tools (e.g., visitor management systems, booking software).
Nice to Have
- Experience organizing offsites a plus
- Experience with data analytics and reporting metrics
- Certification in Facilities Management or Event Planning is a plus.
