Job Overview

As an Intellectual Property (IP) Paralegal, the position supports Getinge’s international IP group located in the US, Sweden, and other regions. The IP Paralegal collaborates with internal and external attorneys, patent agents, business contacts, and vendors worldwide. Your responsibilities include supporting US and international patent prosecution, preparing and performing USPTO and PCT filings, and managing a global patent docket. Additionally, the position handles various administrative tasks associated with operating an in-house IP department. Experience with trademarks and other IP is preferred.

Job Responsibilities and Essential Duties

  • Manage docketing for global IP prosecution and other matters within the international in-house IP department.
  • Prepare and run weekly docket review meetings.
  • Maintain and organize patent files in database, ensuring all records are up-to-date and easily accessible.
  • Coordinate with outside legal counsel to manage the company's patent portfolio, including filing, prosecution, maintenance, and enforcement of patents.
  • Prepare various U.S. and PCT application forms, amendments, and “shell” documents for electronic submission with USPTO and WIPO receiving offices including declarations, certificates of correction, corrected filing receipts, assignment recordation papers, etc.
  • Collect executed inventor documents and track inventor awards.
  • IDS management and filing for both simple and complex patent families independently as well as with commercial IDS management tools.
  • Maintain and process annuities and maintenance fees.
  • Oversee Patent Review Board activities, including meeting preparation, setup, and coordination, sending out reporting emails to inventors and participants, and following up on identified action items.
  • Diligently monitor department email correspondence and accurately file received documents as required.
  • Significant experience in filing US trademark applications and conducting trademark clearances in collaboration with an in-house legal team.
  • Manage expense tracking and vendor relations.
  • Manage vendor operations, including invoice submission practices and resolution of invoicing issues with internal client legal entities and accounts payable teams.
  • Exhibit a thorough understanding of rules, forms, and requirements for international and US patent applications, and proactively research and stay updated on new regulations as necessary.
  • Must be adaptable and open to embracing change and continuous improvement.

 

Minimum Requirements

  • Bachelor Degree or equivalent combination of education and relative experience
  • Minimum of 5 years’ experience as a patent or IP paralegal at a law firm and/or in-house. 
  • Paralegal Certificate a plus.
  • Proficient in at least one common IP docketing system, (such as Foundation IP, IPENDO, Anaqua, IP Manager, or CPI).
  • Mastery of USPTO patent filing procedures is required.  This includes electronic filing, knowledge, and completion of USPTO forms, IDS practice, and preparing and filing new patent applications.
  • Familiarity with international patent practice, particularly EPO practice, is preferred. 
  • Trademark searching and filing experience is preferred. 
  • Strong written and verbal communication skills in the English language.  Knowledge of certain additional languages would be a plus.
  • Must be well organized and demonstrate attention to detail. 
  • Perform administrative tasks as needed.
  • Ability to work well with a small team serving many global internal stakeholders.
  • Ability to multi-task, manage time, and to work independently with minimal supervision.
  • Time management skills: ability to handle high volume requests.
  • Competent in Excel, and able to work with Power Query.
  • Proficiency in Microsoft Word, MS Outlook, Adobe Acrobat Pro, Excel, and PowerPoint. 

The base salary for the position is a minimum of $97,000 and a maximum of $126,000. The position is eligible for over time.
