Sr. Assoc, Administrative Services – AR&D
The Associate Vice President of Analytical Research & Development in our company's Research Labs has an opening for a Sr. Assoc, Administrative Assistant. Candidates must have an interest in and ability to work successfully in a fast paced, complex work environment. The ideal candidate is a highly motivated and polished professional capable of prioritizing work, demonstrating exceptional organizational and proactive problem-solving skills, professional communication skills, flexibility and teamwork as well experience navigating across an enterprise to access resources and solutions as needed.
Some job responsibilities include, but are not limited to:
Administrative support to include extensive calendar management, meeting management (including meetings with external colleagues), phone coverage, processing expense reports, coordinating travel and updating weekly schedules.
Work requires the coordination and performance of multiple tasks and technical skills related to own work assignments.
Coordination of work and tasks will require individual to work well with colleagues across sites
Interact with team colleagues and understand administrative interdependencies in work
A working knowledge of the priorities of the team, which allows for an efficiently run department and a focus on key aspects of work.
Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problem solving skills with minimal supervision.
Communication skills must be at a level to effectively interact with our company's executives and their assistants as well as internal/external clients both on-site and remotely to maintain relations
May coordinate special projects within the division/area.
Location/commute
This role is based at our headquarters site in Rahway (NJ, USA).
We offer a hybrid setup {combination of an in-office (3 days) & remote/offsite (2 days)}.
This position cannot be 100% remote.
Position Qualifications:
Education Minimum Requirement:
High School Diploma or Equivalent
Required Experience and Skills**:
Minimum of (10) years Administrative Assistant experience
Minimum of (5) years Administrative experience supporting Executive Directors and above (preferred AVP level roles)
Advanced computer skills using Office 365 (MS Outlook, Word, Excel, Power Point, Visio, Concur)
Digitally savvy with intellectual curiosity to learn more in the digital space
Ability to handle and prioritize a large number of simultaneous assignments
Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel and processing Visa/Passport Applications
Event Planning/Coordination experience
Extraordinary attention to detail and handling of confidential/sensitive information
Outstanding communication and people skills
Proficiency with SAP, Workday, Ariba or related software programs preferred.

Under New York City, Colorado State, Washington State, and California State law, the Company is required to provide a reasonable estimate of the salary range for this job. Final determinations with respect to salary will take into account a number of factors, which may include, but not be limited to the primary work location and the chosen candidate’s relevant skills, experience, and education.
Expected salary range:
$76,000 - $119,700

U.S. Hybrid Work Model
