The Sr. Administrator will support multiple Executive Vice Presidents at UnitedLex with a variety of tasks necessary to ensure smooth and timely business practices.

RESPONSIBILITIES:

  • Oversee heavy calendar management prioritizing inquiries and requests while making judgements and recommendations to ensure smooth day-to-day operations.
  • Act as a liaison maintaining strict confidentiality with outside agencies, clients, partners, and stakeholders, including senior-level management, Board members and their executive administrators.
  • Manage international/domestic travel arrangements with minimal instruction.
  • Track and supervise expense report preparation and submission.
  • Prepare agendas and schedules for meetings. 
  • Assist with tracking the Team’s action items and status of tasks and initiatives, following up as appropriate.
  • Lead employee engagement activities, such as on-boarding and off-boarding requirements, birthday, and anniversary celebrations.
  • Handle inquires to ensure proper responses and involvement of any required resources to reach conclusion – navigate organization to get to right person with solution.
  • Assist in electronic delivery of confidential and time-sensitive documents.
  • Perform other duties as assigned.
  • This role will operate 100% virtually from your home office. We primarily collaborate with our US and International colleagues through virtual meetings (Teams) and email. 
  • Due to the nature of this role, you must be able to remain stationary for extended periods and must be able to observe and interpret written and/or verbal communication.

REQUIREMENTS & COMPETENCIES:

  • High school diploma required; Bachelor's degree preferred.
  • 5+ years of experience as an Executive Assistant to a C-Level Executive. 
  • Extremely proficient with Microsoft Office Suite with the ability to learn new and updated software.
  • Ability to pre-empt and proactively address matters before they occur, to anticipate the needs of the EVPs is crucial to productivity. 
  • Excellent consulting, listening and communication skills, demonstrated with the ability to establish working relationships at all levels of the organization.
  • Easily switch gears to attend to competing priorities and generally have a bias for action
  • Excellent analytical, problem solving and decision-making skills, applied with a solution-focused positive attitude.
  • Enjoys fast-paced, dynamic, and challenging environment that focuses on a team-oriented approach.

Salary Range: 

The salary range for this role reflects the range of factors that inform case-by-case compensation decisions including education, experience, training, licensure, certification, and geography as well as the business and organizational needs specific to the role. Compensation ranges may be broad, reflecting flexibility within the budget and title to consider candidates of varied experience. A reasonable estimate of the current compensation range for this role is $50,000 to $100,000. Select roles are additionally eligible for Incentive Compensation in the form of our Annual Performance Bonus Program or Sales Commission Policy.
