Job Overview:
The Leave of Absence (LOA) Specialist is responsible for managing and overseeing all aspects of employee leave programs, including but not limited to, medical, personal, family, disability, and other leave types. The specialist ensures compliance with relevant laws and company policies while providing timely, accurate, and compassionate support to employees. This role requires excellent communication skills, attention to detail, and a strong understanding of leave policies and regulations.

Key Responsibilities:

  • Administer Leave Programs:
    Manage the process for all types of employee leaves of absence (FMLA, ADA, medical, military, personal, etc.). Ensure that leaves are processed in accordance with company policies and applicable laws.
  • Policy and Legal Compliance:
    Stay current with federal, state, and local leave laws (e.g., FMLA, ADA, HIPAA, Workers' Compensation, etc.) to ensure the company is compliant. Advise employees and management on applicable leave laws and ensure legal obligations are met.
  • Employee Support and Communication:
    Serve as the primary point of contact for employees regarding their leave of absence requests. Provide employees with information on their leave options, procedures, and status updates in a timely manner.
  • Documentation and Record-Keeping:
    Maintain accurate and confidential records for all leave cases. Ensure that documentation, including medical certifications and other required paperwork, is complete and filed properly.
  • Coordinate with Managers and HR:
    Work closely with HR partners and department managers to manage staffing needs, monitor return-to-work plans, and facilitate accommodations or reintegration post-leave.
  • Monitoring and Reporting:
    Track and monitor all active leave cases. Prepare reports on leave usage and trends to identify patterns, compliance issues, and potential improvements.
  • Return-to-Work Coordination:
    Work with employees and managers to plan and manage return-to-work processes, ensuring compliance with medical restrictions or accommodations. Provide assistance with job modifications and other return-to-work policies as needed.
  • Training and Education:
    Provide guidance and training to HR team members, managers, and employees on leave of absence processes, policies, and compliance requirements.
  • Process Improvement:
    Continuously evaluate the leave of absence process to identify opportunities for improvement in efficiency, employee experience, and compliance.

Required Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent experience).
  • Proven experience (typically 2-4 years) in leave of absence management or HR support roles.
  • In-depth knowledge of FMLA, ADA, Workers' Compensation, and other leave-related laws.
  • Strong organizational and time management skills with the ability to handle multiple cases simultaneously.
  • Excellent communication skills, both written and verbal, with the ability to interact effectively with all levels of employees.
  • Strong attention to detail and accuracy, especially in record-keeping and documentation.
  • Proficiency with HRIS systems, leave management software, and Microsoft Office Suite (Excel, Word, etc.).

Preferred Qualifications:

  • Certification such as Certified Leave Management Specialist (CLMS) or other relevant certifications.
  • Experience with specific leave management software or HRIS systems like Workday, SAP, or ADP.
  • Knowledge of other HR functions, such as benefits administration and employee relations.

The pay ranges outlined below are presented in accordance with state-specific regulations. These ranges may differ in other areas and could be subject to variation based on regulatory minimum wage requirements. Actual pay rates will depend on factors such as position, location, level of experience, and applicable state or local minimum wage laws. If the regulatory minimum wage exceeds the minimum indicated in the pay range below, the regulatory minimum wage will be the minimum rate applied.
