The Senior Operations Specialist contributes to the daily administration and troubleshooting of the portfolio accounting/management database. The position will play a key role in the highly visible advisory fee collection process, including being a subject matter expert for the department and advisor teams. In addition, the individual will have a thorough understanding of the quarterly asset management reporting process. The Senior Operations Specialist works internally with Operations and other departments to ensure the accurate and timely set-up and calculation of advisor fees by utilizing the portfolio accounting system, account set-up, and billing applications. Responsibilities also include assisting with the billing and refund process related to account cancellations and transfers.
This position is a fully remote opportunity. The salary target for this role is $75,000 - $85,000, depending on experience.

Primary Job Functions
Portfolio Accounting
Manage and perform advanced billing audits to ensure accurate billing on accounts
Support monthly and quarterly billing functions
Contribute to the monthly fee collection process, along with supporting the quarterly statement generation process as needed
Process requests and troubleshoot advisory fee related items for the Operations department and other internal departments
Data entry account attributes in portfolio accounting system, ensuring account data and advisory fee billing specifications are set-up properly
Resolve outstanding tasks in CRM (Salesforce) systems
Assist with creating and maintaining department procedures
Provide Internal Department and Advisor Team Support
Provide internal “customer” support, quickly responding to a high volume of time sensitive questions and requests from multiple internal teams
Cross-train in support of other areas of Operations as needed
Other projects and activities as needed
Education/Qualifications
High School degree (or equivalent) required; post high school degree preferred
5 years’ experience in financial services required, preferably in an RIA or Broker/Dealer environment
Experience working with portfolio accounting/management, preferably Orion, and CRM systems (e.g. Salesforce)
Orion billing experience preferred
Knowledge and familiarity with Microsoft Office, advanced Excel skills are required
Securities and/or Insurance licenses a plus
Strong verbal and written communication
Ability to work independently and in a team
Solid analytical skills; attention to detail
Ability to adapt to frequently changing processes and procedures while incorporating new processes into the standard workflow
