Job Description Summary:

The Senior Editorial Coordinator provides administrative support for the processing and peer review of manuscript submissions. Keeps Assistant Managing Editor informed about problem papers. Works closely with the journal’s editorial board to facilitate the peer review process for articles submitted to PNAS. Reports to an Assistant Managing Editor and will serve as a staff contact for members of the PNAS editorial board. The Senior Editorial Coordinator may supervise one or more editorial assistants.

Working under general supervision, incumbent applies general professional knowledge to solve problems requiring the identification and analysis of various factors and uses independent judgment and discretion to recommend best course of action. Incumbent proceeds on own initiative in compliance with policies, procedures, and practices, but receives guidance or expertise from supervisor or higher-level staff when needed. May supervise editorial support employees or serve in a lead capacity.

Job Description:

ESSENTIAL JOB DUTIES:

•    Responsible for overseeing all aspects of peer review coordination from submission to transmittal for all article types, including quality control checks for incoming manuscripts
•    Transmits manuscripts to production vendor
•    Assign submissions to appropriate editorial board members, including manual Brief Report assignments, as needed
•    Triage appeals and participate in regular appeals team discussions
•    Handle special editorial checks, including escalation to editorial board 
•    Ensure proper training for support staff
•    Maintain task-by-task training manual for the editorial staff
•    Handle system permissions for editorial board member 
•    Acts as the point of contact for production queries received from the production vendor
•    Monitor overlong manuscripts transmitted to the production vendor, provide monthly report
•    Contribute input for enhancements to the submission system, including testing new features
•    Run scheduled and ad hoc editorial office reports
•    Special projects and additional tasks as assigned
•    Potential to supervise editorial support staff 
•    Serve as backup to the assistant managing editor

JOB SPECIFICATIONS
Required Knowledge, Skills, and Abilities: Ability to solve intellectual problems of appreciable variety and complexity. Ability to operate using latitude for independent judgment and action. Ability to work successfully in a team environment and to form and maintain effective teams. Ability to develop relationships with co-workers and employees in other National Academies’ departments through effective communication. Excellent communication skills with a proven ability to effectively interact with all levels of employees.
Minimum Education/Training Requirements: Bachelor’s Degree in English, Journalism, Communications or related field, or equivalent knowledge.
Minimum Experience: Two years of related professional experience, plus one year of supervisory experience if in a supervisory role.
Physical Capabilities: Ability to work at a computer for extended periods of time.
Required Licenses, Certification or Registration: None.
Supervisory Responsibilities/Controls: Reports to Manager/Director. General direction is provided. May supervise assigned staff.
Compensation Range: The National Academies of Sciences, Engineering, and Medicine support equity, fairness, and transparency in our compensation programs. An estimated compensation range for this position is $56,410 - $70,510. Compensation offered to the selected candidate will be based on the candidate’s relevant knowledge, skills, and work experience, commensurate with compensation of current employees in comparable positions with similar knowledge, skills, and work experience, and subject to budget parameters. Work Environment: This role has been approved for 100% remote status, with occasional travel between National Academies’ facilities and to off-site meeting/sponsor locations. Please note that The National Academies of Sciences, Engineering, and Medicine is not an approved employer in all states, as such any remote work arrangement will need pre-approval.
