Senior Administrative Coordinator - Legal Pharma Operations

We are seeking a Senior Administrative Coordinator to provide support to the Legal Pharma Operations Leadership Team within the Law Department.
This role will require 4 days per week onsite at our HQ Campus in Sleepy Hollow, NY. This is not available as a fully remote / hybrid role.
A typical day might include the following:
- Manages calendars and all associated logistics using basic understanding of priorities. Schedules and coordinates meetings, appointments, conferences, and interviews
- Plans internal and external department events including department meetings, team meetings, team building events, and orders food internally and from outside vendors
- Provides support for a wide variety of assignments, some of which are confidential in nature
- Resolves routine administrative inquiries and answers questions concerning activities and operations of the Law Department
- Performs other duties related to maintaining department members’ schedules
- Escorts candidates and visitors as needed
- Orders, stocks, and distributes office supplies
- Onboarding of new staff, including FTEs and contractors
- Books travel and creates and processes expense reports
- Provides backup support and coverage for other administrative coordinators.
- Provides support on special projects as needed, including helping to organize SharePoint sites.
This role may be for you if you have the following:
- Strong interpersonal communication skills, ability to work collaborative across multiple teams
- Ability to prioritize – strong organizational, planning, and project management skills are vital
- Demonstrated mastery in oral and written technical communication
- Solid understanding of Microsoft Applications (Outlook, Word, PowerPoint, Excel, Visio) and Adobe Acrobat Pro is required
- Experience utilizing travel software - Concur preferred
To be considered for this opportunity, you must have at least 4 years of relevant administrative experience. Experience providing administrative support to senior leaders in Legal / Law Firm setting is preferred.
