About the team

We are seeking a bright, forward-thinking, motivated, resourceful, and proactive individual with an established and proven history supporting multiple executives, to join Zillow Group as Senior Administrative Assistant supporting three Sr. Directors of Product, in our Product Development Team.

About the role

This role requires high levels of discretion, integrity, good judgment, and professionalism in dealing with senior leaders/executives inside and outside of the company in a fast-paced environment. The successful candidate must understand business priorities, demonstrate the ability to proactively anticipate needs, drive improvements, complete tasks and projects quickly sometimes with little guidance, react with appropriate urgency to situations that require a quick turnaround, and proactively solve difficult or complex problems. Exceptional organizational skills and attention to detail are a must.

Responsibilities Include:

  • Provide dedicated support to the three senior directors of product while maintaining discretion, professionalism and judgment

  •  Act as liaison with other internal teams and external organizations

  • Manage complex calendars and scheduling requirements; ensuring alignment with priorities

  • Secure and manage travel arrangements, often including complex logistics

  • Assist in planning and running both internal and external executive events and meetings (e.g., staff meeting agendas, all-hands meetings, off-sites, morale events, etc.), including logistics, materials preparation/coordination, catering, etc.

  • Manage/track administrative activities and help drive completion of key deliverables, including analyses, reports, write-ups, etc.

  •  Identify and implement solutions to improve efficiencies among the team

  • Anticipate follow-ups and proactively manage upcoming needs

  • Manage expense reporting and reconciliation, records management, and other duties as required

  • Build relationships and partner effectively with other Administrative/Executive Assistants and stakeholders to support Executive leaders/teams

  • Help manage small to medium sized projects and possibly programs

  • May require 25% travel annually 

This role has been categorized as a Remote position. “Remote” employees do not have a permanent corporate office workplace and, instead, work from a physical location of their choice, which must be identified to the Company. U.S. employees may live in any of the 50 United States, with limited exceptions.

In California, Colorado, Connecticut, Hawaii, Nevada, New York, Washington state, and Washington DC the standard base pay range for this role is $35.20 - $56.20 Hourly. This base pay range is specific to California, Colorado, Connecticut, Hawaii, Nevada, New York, Washington state, and Washington DC and may not be applicable to other locations.

In addition to a competitive base salary this position is also eligible for equity awards based on factors such as experience, performance and location. Actual amounts will vary depending on experience, performance and location.

Who you are

An established Senior level Administrative Assistant with a minimum of 4+ years of experience supporting multiple Senior/Executive level leaders. A highly motivated self-starter with high levels of discretion and good judgment, high performance standards, strong attention to detail, and initiative to take action, who thrives in a fast-paced environment.


 Qualifications and Skills:

  • Experienced in handling heavy calendaring and scheduling tasks efficiently, managing complex calendars and handling last-minute conflicts and scheduling adjustments efficiently ensuring alignment with priorities.

  • Proactively managing upcoming needs and assisting in managing projects, reviewing meetings and providing proactive schedule planning

  • Creativity in balancing tasks, driving completion of key deliverables, and improving efficiency.

  • Skilled in assisting with workback plans and coordinating with team members

  • Experienced in expense reporting, reconciliation, records management, and related duties

  • Talent for managing projects, providing updates, running reports, reviewing presentations, documents, etc.

  • Experience in planning internal and external executive events and meetings, team events and activities, securing and managing travel arrangements, including complex logistics.

  • Skilled in acting as a liaison with internal teams and external organizations

  • Experienced in working in a fast-paced organization, preferably in a product environment

  • Excellent verbal and written communication skills with discretion

  • Proficient in Microsoft Office, G Suite, Zoom, and other tech tools

  • Minimum of 4 years of experience supporting multiple Senior/Executive level leaders in a fast-paced environment
