THE JOB
: Senior Administrative Assistant, Equity, Diversity & Inclusion

The starting salary range falls within the minimum to mid-point of the salary range.

Starting Salary Range: $49,991 - $62,489

Reporting to the Manager, Equity, Diversity and Inclusion, the Senior Administrative Assistant, Equity Diversity & Inclusion (EDI) provides comprehensive, thoughtful, and inclusive administrative support to the ISAR and EDI team and contributes to the development and implementation of initiatives aimed at promoting equity, diversity, and inclusion within the organization. The position requires strong organizational and proactive administrative skills and the ability to manage multiple priorities simultaneously.

Key Responsibilities:

  • Administrative Support:This role manages calendars, schedules meetings, and coordinates logistics for EDI events and initiatives. It may also arrange travel, support reimbursements, prepare materials, including agendas and minutes, and handle correspondence. Additionally, this role assists with document preparation and maintains databases or filing systems related to EDI activities.
  • Communication and Collaboration:The Sr. Administrative Assistant, EDI, is crucial in facilitating effective communication within the ISAR and EDI team and with key external contacts in a virtual workspace. This may involve drafting and editing correspondence, creating and distributing communications materials, composing various high-level documents for the team, such as meeting minutes, briefing notes, agendas, and PowerPoint presentations and managing email and phone inquiries. They will also collaborate with other departments to ensure information sharing and coordination of EDI efforts.
  • Event Coordination:This role will support meetings, events, and learning sessions and will, in turn, require someone who has outstanding attention to detail, a high level of confidentiality, and the political acumen to communicate with key partners. This may include liaising with speakers and presenters, managing registrations, tracking attendance, and overseeing event logistics.
  • Supporting EDI Programs and Initiatives: Assist in the implementation and/or maintenance of various EDI programs and initiatives, including coordinating program logistics, managing participant enrollment, providing administrative support to program leaders and planning with outside contacts.

  • Recommends resource requirements and collaborates with impacted stakeholders.

  • Puts systems in place and uses them to monitor and detect errors and problems.
  • Tests and inspects outputs and applies quality checks prior to work submission.

  • High school graduation supplemented by post-secondary education such as business and administrative courses, workshops and seminars, and one year of related experience; OR an equivalent level or related work experience in lieu of post-secondary education.
  • Excellent writing skills and proven ability to develop clear, concise and comprehensive written communication.
  • Excellent judgment in setting priorities, identifying issues and determining action required when working under pressure and deadlines.
  • Superior interpersonal, oral communication and relationship management skills.
  • Adept at balancing concurrent tasks and projects and working with both staff and key parties internally and externally in a coordinated manner.
  • Proven ability to respond to a wide variety of issues and deal with unclear situations and conflicting demands, and to seek leadership direction and support with priority setting when needed.
  • Knowledge of Committee functions and processes is an asset.
  • Excellent computer skills using Word, PowerPoint, Outlook and Excel.
  • Demonstrated ability to work independently and as a member of the team.
