Join our team and make a positive impact on the lives of others! We are looking for a Scheduling Coordinator for our Physician Practice team. 

Department & Position Overview: 

The Scheduling Coordinator at FreedomCare Med is responsible for managing patient appointments in a fast-paced, virtual healthcare environment. This role directly impacts patient access to care by ensuring efficient scheduling and seamless coordination of virtual visits. Reporting to the Practice Manager, the Scheduling Coordinator will play a key role in ensuring the highest standards of patient care, confidentiality, and overall satisfaction. 

  • This is an individual contributor role that collaborates with the Clinical Support and Forms Teams to optimize appointment scheduling and provider availability
  • The role is accountable for the accurate and timely scheduling of appointments, ensuring patients are registered and prepared for their virtual visits
  • You will handle complex scheduling needs, including adjusting conflicts, supporting patients with technical issues, and maintaining clear communication throughout the process

Responsibilities: 

  • Schedule and confirm virtual appointments based on provider availability and patient preferences
  • Collaborate with the Forms Team to ensure schedules are consistently filled and patients are registered correctly with verified demographics and insurance
  • Manage patient communications, including appointment confirmations, reminders, and technical support for accessing virtual visits
  • Maintain accurate patient records in the EMR, ensuring all data complies with privacy regulations
  • Address patient inquiries professionally and efficiently via phone, email, and other communication channels
  • Troubleshoot scheduling conflicts and coordinate any necessary changes to minimize disruption to patient care
  • Guide patients in preparing for their virtual appointments, including sending appointment links and offering necessary instructions
  • Perform administrative duties such as data entry, maintaining organized records, and acting as a backup for other support staff as needed
  • Collaborate with medical and administrative teams to streamline the scheduling process and improve efficiency. 
  • Other duties as needed  

Ideal Candidate Will Possess: 

  • Proficiency with EMR platforms and scheduling software 
  • Strong Microsoft Office skills (Word, Excel, Teams) 
  • Excellent verbal and written communication skills with a focus on patient-centered service 
  • Problem-solving and critical thinking abilities; able to troubleshoot and investigate to find the right solution 
  • Ability to multitask, prioritize, and manage time effectively in a fast-paced environment 
  • Empathy and professionalism in handling patient interactions, always putting patient needs first 
  • Education: High school diploma or equivalent required 
  • Experience: Minimum 1-2 years in healthcare scheduling, telehealth, or a related role, with demonstrated knowledge of virtual care environments 
  • Technology: Experience with EMR platforms (preferred); working knowledge of Microsoft Suite (required) 
  • Language: Bilingual (Spanish) is a plus 
  • Competencies: Strong communication, organizational skills, and attention to detail are essential. Must be proficient in handling multiple tasks and managing patient care inquiries with empathy and professionalism

At FreedomCare, base pay is one part of our total compensation package and is determined within a range. This provides our employees with the opportunity to professionally grow and develop within a role. The base pay range for this role is between $18.00 and $23.00 an hour at the commencement of your first year of employment. Compensation decisions are dependent upon a variety of factors which may include, but are not limited to: skill set, years of relevant experience, education, location, and licensure/certifications.
