Resource and Capacity Manager

Risk & Regulatory Consulting, LLC (“RRC”)

Position Description

The Resource and Capacity Manager will be responsible for optimizing the allocation of time and expertise across current and upcoming client engagements, ensuring a balanced and efficient workload for resources within the firm.  Key functions for this role include matching capacity with client/project needs, forecasting future staffing needs based on pipeline, and monitoring over-utilization of resources while maximizing resource allocation to meet utilization target goals.  The ideal candidate for this role will have strong critical thinking and analytical abilities; excellent project management, time management, and organizational skills; a keen eye for detail; and the ability to work collaboratively with various stakeholders within our firm.

The applicant for this position will work closely with RRC’s executive team members (i.e., “Leadership”) in a highly dynamic and fast-paced environment.  Through project-based work for the RRC Partners and Managing Directors, this candidate will also learn about RRC’s business and growth opportunities and sales model.  This role necessitates excellent interpersonal skills, strong problem-solving skills, the ability to “think on-your-feet”, and a strong desire to learn new areas and contribute to new or enhanced processes.  We are looking for a candidate who can proactively work through challenges, not be hesitant to make decisions, and offer well-thought out and practical recommendations to Leadership, as well as continually offer suggestions to improve efficiencies.

Key Objectives for this Role

  • Minimize external client servers’ under-utilization or overwork through dynamic resource planning.
  • Ensure project staffing is aligned with skills and availability.
  • Maintain a real-time view of who is available, staffed, or at risk of over-utilization.
  • Support forecasting by providing realistic timelines based on resource load.
  • Work with external client servers to staff resources within established budgets.
  • Collaborate with other resources to solve problems and resolve situations effectively where overlapping demands for resources are in play.
  • Foster a positive and collaborative work environment.

Responsibilities

  • Develop and implement resource management strategies to optimize the use of external client servers across all service lines.
  • Coordinate with service line leaders to understand resource needs and allocate resources accordingly.
  • Monitor and analyze resource utilization and make recommendations for improvements.
  • Maintain accurate records of resource allocation and usage.
  • Provide regular reports on resource status and utilization to Leadership.
  • Identify and address any resource-related issues or conflicts.
  • Continuously evaluate resource management software and tools to fully maximize capabilities and usage as well as to streamline operations.
  • Act as a liaison between different service lines and Leadership to ensure clear communication and alignment on resource-related matters.
  • Interpret data (e.g., from time tracking tools, pipeline of new work, project scope/definition, and understanding of skills needed) to guide staffing decisions.
  • Flag potential delivery risk early when resource demand outpaces capacity.
  • Collaborate with Leadership on resourcing trade-offs (e.g., decisions such as stretch the team vs. hire new personnel vs. push back the work).
  • Foresee key scenarios (e.g., “What happens if X client signs the contract next week?”) to plan proactively.
  • Identify opportunities/projects to keep available staff busy during periods of downtime and communicate expected downtime to attempt to reassign resources quickly.
  • Leverage the firm’s reporting systems (i.e., Workday, Power BI, and others) to generate reports for further analysis of time incurred (comparison of actual vs. forecasted) for Leadership for multiple business purposes/uses.
  • Harness the firm’s technological capabilities (including the use of AI, such as Copilot) to drive efficiencies.

Qualifications

  • Bachelor’s degree in business administration, Human Resources, or related field.
  • CPA preferred.
  • 5-10+ years of relevant experience in Big 4, consulting or professional services firm is required.
  • Proven experience in resource management, preferably within a professional services firm (insurance or regulatory sector preferred).
  • Excellent interpersonal skills.
  • Proficiency in the use of resource management software and tools.
  • Ability to work independently and collaborate as part of a team.
  • Excellent computer skills including MS Excel (advanced skills required), Word, PowerPoint (advanced skills preferred), and Outlook.
  • Demonstrated time management and project management skills
  • Strong personal accountability, proven critical thinking skills, and strong analytical skills
  • Strong attention to detail with regards to mathematical accuracy (e.g., Excel formulas)
  • Strong written and verbal communication skills (e.g., ability to effectively communicate most important points in a succinct and cohesive manner).
  • Self-motivated with a strong a sense of urgency to meet deadlines.
  • Dynamic/flexible demeanor with a “can do” attitude.
  • Resourcefulness – curiosity to solve problems and initiative to research and act quickly when something needs attention.
  • Flexibility to work overtime, as needed, around Partners’ scheduling challenges, when required.
  • Ability to balance multiple priorities and manage tasks to completion in a timely manner.
  • Self-awareness as to own strengths/areas for improvement; willingness to grow/develop professionally, including offering suggestions for continuous improvement vs. accepting the ‘status quo’.

At RSM, an employee’s pay at any point in their career is intended to reflect their experiences, performance, and skills for their current role. The salary range (or starting rate for interns and associates) for this role represents numerous factors considered in the hiring decisions including, but not limited to, education, skills, work experience, certifications, location, etc. As such, pay for the successful candidate(s) could fall anywhere within the stated range.

Compensation Range: $92,600 - $159,000

Individuals selected for this role will be eligible for a discretionary bonus based on firm and individual performance.
