Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break.

This position offers the opportunity to work on prestigious renovation projects valued at $700,000+ while managing relationships with skilled trades and suppliers. You’ll be instrumental in maintaining project documentation, tracking financials, and ensuring smooth communication flow between all stakeholders, making you an essential part of delivering exceptional custom home transformations.
Responsibilities
- Maintain comprehensive project documentation and administrative systems
- Track and process supplier invoices, ensuring accurate job costing and financial reporting
- Coordinate with trades and suppliers to maintain project schedules
- Ensure materials are ordered and delivered according to project timelines
- Develop and maintain regular reporting processes for project status tracking
- Support project scheduling and trade availability confirmation
- Manage project documentation filing and organization
- Facilitate communication between trades, suppliers, and internal team
- Monitor and track project budgets and costs
- Assist in maintaining project schedules minimum 2 weeks in advance
Scope
- Support projects valued at $700,000+ in Inner West, Inner City, and Eastern suburbs
- Manage documentation and coordination for multiple concurrent renovation projects
- Handle supplier and trade communications (approximately 80% of communication load)
- Oversee project administrative systems and documentation
- Monitor and track financial aspects of projects including invoicing and cost tracking
- Develop and maintain project status reporting systems
Requirements
- Experience in construction industry administration or project coordination
- Experience with construction project scheduling
- Proficiency in BuildXact and/or experience with construction management software (mentioned as being used for 4-5 years)
- Proficiency in financial tracking & reporting across construction projects
- Proficiency in processing and coding supplier invoices
- Strong project administration and documentation skills for managing large renovation projects ($700-800k+)
- Strong understanding of construction documentation and processes
- Strong communication skills, particularly in trade/supplier coordination (80% of communication)
- Strong attention to detail for maintaining accurate project documentation
- Ability to manage and coordinate trade schedules and material deliveries minimum 2 weeks in advance
- Ability to maintain and organize detailed and systematic project documentation of processes and procedures
- Excellent organizational and documentation skills for managing multiple high-value renovation projects
- Detail-oriented with strong follow-through capabilities
