Project Coordinator

We’re looking for a Project Coordinator to join our dynamic team.  In this role, you will work in conjunction with Project Managers to execute logistical tasks and responsibilities related to the planning and implementation of educational client programs from concept through execution. Responsible for program tactics and administration and process management; Project Coordinators and are in a client facing, "front line" communication position, often tasked with managing escalation for client questions and requests. They also act as a resource for clients, service providers and other staff with regard to guidelines, procedures, and processes. Project Coordinators take ownership of all aspects of the program life cycle ensuring all steps are thoroughly documented, compliance guidelines are met, and details are communicated appropriately to all stakeholders internally and externally.

 

Your responsibilities

  • Understand project services scope and takes responsibility for assisting with different aspects of project execution (including program logistics management, venue and speaker confirmation, attendee registration monitoring, travel coordination, and creation of program materials).
  • Source, contract, and negotiate vendor services including, but not limited to venue/catering, transportation, and audio-visual needs.
  • Manages all meeting materials required for project execution, i.e. invitation customization, meeting checklists, calendar invites, itineraries, surveys, etc.
  • Responsible for data management within project management system for each program from conception through execution.
  • Maintains understanding of federal and client-specific compliance and regulatory guidelines and implements programs in accordance to those guidelines.
  • Other duties as assigned (i.e. virtual program monitoring, documentation updated and maintained)

  • You are extremely detail oriented and have excellent organizational skills.
  • Working independently and collaborating as a team.
  • Microsoft Office Suite, particularly Word & Excel.
  • Accurate program data management, from logistics to financial reporting
  • Learning new software and technologies (training provided)

 

You might also have

  • A college degree from a 4-year institution.
  • Working knowledge of life sciences/medical background.
  • Support experience within a marketing or sales-focused functional area.

We carefully consider a wide range of compensation factors, including your professional background and experience. The salary range for candidates in applicable jurisdictions in the US for the position of Project Coordinator, Speaker Bureau is between $45,000 - $55,000 The actual pay depends on your skills, qualifications, experience, geographical location, and project budget.
