Our technology goes beyond traditional measures of heart disease by enabling comprehensive quantification and characterization of atherosclerosis, or plaque buildup, in each of the heart arteries. Cleerly’s solutions are supported by more than a decade of performing some of the world’s largest clinical trials to identify important findings beyond symptoms that increase a person’s risk of heart attacks. 

At Cleerly, we collaborate digitally and use a wide variety of systems. Our people use Google Workspace (GMail, Drive, Docs, Sheets, Slides), Slack, Confluence/Jira, and Zoom Video, prior experience in these areas is a plus. About the Opportunity

As the Project Coordinator to the Scientific Affairs team,  you will be responsible for a wide range of administrative, project, logistical, and strategic tasks, enabling the Scientific Affairs team to focus on critical scientific and business priorities. These tasks will cover all aspects of the Scientific Affairs team’s responsibilities, including regulatory affairs and quality, data science, clinical research operations, clinical data management and biostatistics, and research core laboratory responsibilities.

About the Team

Under the direction of the Chief Scientific Officer, this role supports activities across Scientific Affairs, Regulatory Affairs and Quality, and Data Science. These teams are a diverse group with experience in core laboratory operations, clinical research operations, clinical data management, statistics and data science, and quality and regulatory affairs. We support both internal product development and quality operations as well as research and evidence generation. 

Responsibilities

  1. Administrative Support: Assist with administrative tasks such as scheduling meetings, preparing agendas, and taking meeting minutes.
  2. Documentation: Maintain project documentation including project plans, schedules, budgets, and reports. Ensure documentation is accurate, up-to-date, and easily accessible to team members.
  3. Communication: Facilitate communication between project team members, stakeholders, and external partners. Distribute project-related information and updates as necessary.
  4. Logistical Support: Coordinate logistical aspects of projects and meetings such as booking venues for meetings, arranging travel accommodations, and ordering supplies.
  5. Data Entry and Analysis: Assist in data entry, collection, and analysis for project monitoring and evaluation purposes as required by the company (OKRs and other metrics).
  6. Team Collaboration: Collaborate with team members to ensure tasks are completed efficiently and deadlines are met.
  7. Ad Hoc Tasks: Provide support on additional tasks and projects as assigned by leadership.

Requirements 

  • Education and Experience:
    • Bachelor’s degree in business administration, project management, or related field (or equivalent work experience).
    • 2 years of Administrative and/or Project Coordination experience
    • Preferred experience in a medtech/healthcare startup or healthcare field.
  • Administrative Skills:
    • Proficiency in software (e.g., Microsoft Office Suite, Google Workspace (Docs, Mail, Calendar), SAP Concur). 
      • Experience with project management software (Confluence) preferred
    • Excellent typing and data entry skills.
    • Experience managing calendars, scheduling appointments, and arranging meetings.
    • Strong written and verbal communication skills.
    • Ability to draft emails, reports, and other documents with precision and clarity.
  • Organizational Abilities:
    • Capability to prioritize tasks and manage multiple deadlines effectively.
    • Experience in coordinating travel arrangements, including flights, accommodations, and itineraries.
    • Skill in maintaining digital filing systems for easy retrieval of documents.
    • Attention to detail to ensure accuracy in all tasks and correspondence.
    • Ability to handle confidential information with discretion.
  • Flexibility and Adaptability:
    • Willingness to take on new tasks and responsibilities as needs evolve.
    • Ability to thrive in a fast-paced and dynamic work environment.
    • Resilience in the face of challenges and ability to maintain composure under pressure.

Salary: $79,000 - $105,000

 *Total Target Compensation (TTC): Total Cash Compensation (including base pay, variable pay, commission, bonuses, etc.). We hire employees anywhere within the United States and account for geography when determining base salary.
