Personal Assistant to CEO (Bilingual)

Contract Type: Part-time, permanent, 20 hours per week

Location: Dülmen, NRW, Germany.  Hybrid working - 1 day working from office and rest of the time working remotely (home office)

Salary: We have benchmarked a salary in the region of €40k-€50k (reduced pro rata for part time), dependant upon experience

The Role

We are looking for an experienced Personal Assistant to provide support (admin and financial) to an English CEO living in Germany, and running 2 businesses - a global software business (vable.com) and a wallpaper design business (miloladesign.com) as well as managing 4 children. 

To be successful you need to be fluent in English and German, have several years experience managing accounts for a small business, and several years as a personal assistant.   You will also need to have meticulous attention to detail, and excellent communication and time management skills.  You also love solving problems and are always looking for ways to improve efficiency.  

Key responsibilities will include, but are not limited to:

Personal Administration

  • Managing all admin matters (eg household bills, insurance, correspondence with tax authorities).
  • Calendar, email inbox and file management.  
  • Liaising with Tax Authorities / Advisors and ensuring timely filings
  • Booking travel for the family
  • Ad hoc projects, eg applying for a UK Passport for a child
  • Other matters relating to children’s education, health, travel etc. 

Financial Management

  • Bank reconciliations
  • VAT Filings - Germany and UK
  • Produce monthly management reports
  • Managing Accounts Payable and Accounts Receivables
  • Liaising with tax advisors and ensuring timely filings 

We would love to hear from you if you have the criteria below:

  • Minimum of 2 years of experience in finance and accounting roles, preferably within a fast-paced environment.
  • Minimum of 2 years experience as a PA, including experience in operations and project management
  • Strong understanding of financial principles, accounting standards, and financial regulations.
  • Proficiency in cloud based financial software and tools.
  • Proficiency in cloud based communication, project management and collaboration tools (eg slack, monday.com and gmail)
  • Excellent analytical and problem-solving skills
  • Meticulous attention to detail. 
  • Strong organisational and time management skills, with the ability to manage multiple priorities and meet deadlines.
  • Excellent communication and interpersonal skills.
  • Fluency in English and German
