Payroll Coordinator

Target salary range: $60k-65k. The estimate displayed represents the typical salary range for this position based on experience and other factors.

Key Responsibilities:

  • Review and process biweekly and semi-monthly timesheets.
  • Process multi-state payrolls in accordance with company policy and in compliance with federal, state, and local tax regulations and employment laws.
  • Prepare and process off-cycle payrolls for adjustments and bonuses.
  • Ensure accurate calculation of wages, overtime, bonuses, and deductions.
  • Initiate registrations in new tax jurisdictions.
  • Ensure timely submission of employee benefits premiums and other third-party payments.
  • Respond to payroll-related inquiries from employees in a timely manner.
  • Coordinate with HR regarding new hires, terminations, and any changes to employee compensation or benefits.
  • Maintain strict confidentiality of sensitive payroll information.
  • Maintain up-to-date payroll records, including personal employee information, pay rates, tax exemptions, and benefits selections.
  • Assist with monthly, quarterly, and year-end activities to include payroll tax filings, balance sheet reconciliations, and W-2 production.
  • Support audits and assist with providing necessary payroll documentation.

Required Skills and Qualifications:

  • Associate’s degree in Accounting, Human Resources, or related field
  • Minimum of 3 years’ experience in multi-state, multi-pay schedule payroll processing
  • Strong knowledge of payroll processes, tax regulations, and compliance requirements
  • Proficiency with Deltek Costpoint, Microsoft Excel, and payroll software (e.g. ADP Workforce Now, UKG Pro)
  • Attention to detail and strong organizational skills.
  • Ability to maintain confidentiality and manage sensitive information.
  • Excellent communication skills to interact with employees and resolve issues.
  • Ability to work independently and multi-task while meeting strict deadlines.

Preferred Qualifications:

  • Certification in payroll (e.g., Certified Payroll Professional – CPP) is a plus.
