The BCD Meeting & Events Internship Program Overview

The Internship Program is designed to provide students with meaningful opportunities to increase their knowledge and professional skills within a real employment setting.  The intern will accomplish this by becoming a temporary member of a team and project manage and/or contributing to projects which have a clear strategy, scope, start/finish dates, and deliverables. Interns will collaborate with a passionate group of experts who pride themselves on delivering enterprise-wide solutions and support from one end of the meeting cycle to the other.


It is our goal to create an internship experience that allows the intern to make a solid contribution to the agency while benefiting from experiential learning that links the objectives of their academic/internship requirements while gaining practical experience in the field.  The intern will be dedicated to one team for the duration of their internship but through training, shadowing, and interactions will gain experience and/or have exposure to the following activities:


•    Operations and Logistics of Event Production
•    Project Staffing
•    Data Management on Monday.com

Internship Position Details
•    The internship anticipated start is Fall 2024 and anticipated end Winter 2024 (approx. 10 weeks total). Interns are expected to commit to a part-time internship curated around their potential class schedules.
•    Estimated working hours: 15 hours per week Monday through Friday pending class and semester schedules. We will flex to your school schedule!
•    The internship is a paid position and will have an hourly rate of $20 an hour. (Subject to taxes)
•    Interns are subject to BCD M&E rules and policies. 
•    The internship is Hybrid in our Chicago office: Estimated 3 days in office, 2 days from home. Address: 500 W. Madison St., Suite 1200, Chicago, IL 60661. 
 

Reporting Structure
The intern will report to a Stevie Turski within the department where the internship sits.  
 

Intern – Operations Coordinator 

 

General Responsibilities: 
The Operations Coordinator Intern will get hands-on experience assisting the operations team with a variety of admin-based tasks. They may assist with the development and monitoring of Monday.com boards, aid in the creation of SOPs, event-based organization and data entry, cross reference Production and Content player assignments, scheduling Content Freelancers, and Internal Employees, create job numbers for Events and Content, add new freelancers to our database, and send new freelancers our contract.

Job Specific Essential Duties and Responsibilities: 

  • Assist with items such as cross-checking lists, creating SOPs, managing company calendar for staffing, verbal and written correspondence with freelancers and employees, etc
  • Learn various aspects of staffing for content and events 
  • Adhere to all deadlines, turnaround timelines & compliance requirements
  • May provide on-site program assistance as needed
  • Respond to freelancer and employee emails and requests
  • Maintain the highest level of quality, professionalism and integrity when interacting with attendees, clients, suppliers and team-mates
  • Assume other duties and responsibilities not specifically outlined herein, but which are logically and properly inherent to the position and can add value

Qualifications:

  • In the process of securing a Bachelor's degree with a major in communications, business, hospitality, event management or a related field
  • Strong computer skills
  • Comfortable with basic Excel (sorting & formatting, basic formulas) 
  • Excellent communication and interpersonal skills with the ability to interface at all levels of management and personnel both internally and externally  (encompasses verbal, written, and listening)
  • Able to establish a high level of trust and credibility in the organization 
  • Ability to nurture and work in fast-paced, team-oriented environment
  • Flexible; ability to adapt to changing priorities and multiple tasks
  • Team oriented

The Operations Intern will receive $20 per hour (subject to taxes) for hours worked. Working hours will be determined by the candidate's class or semester schedule, but estimated to be 15 hours weekly Monday through Friday.
