  • $45,000 + annual, Dependent on Experience, Non-Exempt (Eligible for overtime)

Purpose of Position

The primary focus of this position is to establish and maintain effective policies and procedures for internal control of operational and financial data to ensure CFI and CFI Foundation compliance with federal, state, and university regulations and policies; develop operational and financial reports as needed/requested to demonstrate compliance with federal, state and university policies as well as monitoring impact of CFI activities for grant and non-grant related programming; work with the programming team to automate reporting; analyze operations and financial data. Given the integral and complex nature of CFI administrative operations, this position also has responsibility for administrative duties related to the day-to-day operations of the CFI to include events, parking, tenant record management, telephones, mail service, filing, printing and more.

Duties & Responsibilities

Administrative Operations:

  • Lead process improvement initiatives, create reports, and reduce redundancies.
  • Coordinate policy creation, implementation, and review with the leadership team.
  • Prepare meeting materials and identify key participants.
  • Independently complete data requests, analyze data, and provide recommendations.
  • Ensure compliance with CFI, UND, and State Board of Higher Education policies.
  • Manage policy editing, notifications, and maintain a policy database.
  • Develop training programs for new hires and student employees.
  • Assist in managing student interns.

Administrative Support:

  • Serve as the first point of contact for CFI.
  • Oversee event planning for CFI and external events.
  • Assist with incubator operations (keys, fobs, parking, etc.).
  • Maintain filing systems and manage record retention.
  • Represent CFI at meetings and manage office supplies.
  • Conduct inventory and ensure office coverage from 8:00 am - 5:00 pm (M-F).
  • Prepare reports on incubator activities, financials, and impact.
  • Perform general office duties and other tasks as assigned.

  • Familiarity with planning of office support priorities and functions.

Minimum Requirements

  • Bachelor’s degree or equivalent experience
  • Four years’ experience with government or higher education administrative work
  • Experience providing administrative office support functions in an office setting.
  • Experience creating KPIs for government or higher education offices
  • Proficiency in spreadsheets, databases, or other office and project management software(e.g. Excel, Office RnD, Monday etc.)
  • Experience responding to and engaging with the public and clients of an organization.
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Four years’ experience in government or higher education administration
  • Proficiency in the use of Excel formulas in spreadsheets.
  • MBA or similar coursework in a business-related field
  • Maintenance of office procedures, operations, and organization.
