Operations Assistant

Planet Technologies, the Nation’s leading Microsoft services provider to the public sector, is looking for a highly motivated individual to join our growing team as Operations Assistant. In this role, you will be supporting impactful projects that make a difference for our country.
The Administrative Assistant for Operations is responsible for coordinating and submitting responses to customer Requests for Proposals (RFPs), ensuring compliance with company standards, and managing contract vehicles such as the GSA Schedule. This role requires a detail-oriented individual with strong organizational and communication skills who can collaborate independently with internal teams, including sales, strategists, and Practice Managers. The Administrative Assistant will also review bid sites to identify relevant opportunities, route them to the appropriate staff, and ensure compliance with document requirements for project setup within the company’s Microsoft Dynamics tracking system. Additionally, this role will support the production of recurring and one-time reports, providing valuable insights to internal stakeholders.

Education and Experience:

  • Bachelor’s degree in business, Communications, Public Administration, or a related field (preferred but not required).
  • 3+ years of experience in proposal coordination, contract administration, or program management.
  • Experience working with Microsoft Dynamics and SharePoint (preferred).
  • Expertise in Microsoft Word, Excel, and PowerPoint (required).
  • Familiarity with government and commercial contracting processes, including managing contract vehicles.

Knowledge, Skills, and Abilities:

  • Strong understanding of the RFP process and proposal lifecycle.
  • Ability to review scopes of work and ensure compliance with company policies and standards.
  • Experience managing and maintaining contract vehicles, including renewals and compliance requirements.
  • Ability to filter and route bid site opportunities based on company capabilities.

Technical Abilities:

  • Proficiency in Microsoft Word, Excel, and PowerPoint for document creation, data analysis, and presentations.
  • Strong familiarity with Microsoft SharePoint for document management and collaboration.
  • Experience working with Microsoft Dynamics to track project setup and manage workflows.
  • Ability to review, analyze, and ensure contract and proposal documents compliance.
  • Strong understanding of RFP coordination processes, including document formatting, version control, and submission requirements.
  • Experience with government contract management, including maintaining and renewing contract vehicles.
  • Familiarity with procurement portals and bids.
  • Knowledge of Microsoft Dynamics CRM.
  • Experience producing and managing recurring and ad-hoc reports for business operations.
