As an On-site Event Coordinator:

 

You’re good at:

  1. Client Consultation: Serve as the main point of contact for clients, conducting consultations to understand their event needs, objectives, and preferences.
  2. Event Planning: Collaborate with clients to develop event concepts, themes, and agendas, providing creative input and strategic recommendations to enhance event experiences.
  3. Logistical Coordination: Coordinate all logistical aspects of events, including venue setup, audiovisual requirements, catering arrangements, and more, to ensure smooth event operations.
  4. Vendor Management: Liaise with external vendors and suppliers to secure necessary services and equipment, negotiate contracts, and oversee vendor performance to meet client expectations.
  5. On-Site Event Management: Oversee event setup, execution, and breakdown on-site, serving as the primary point of contact for clients and vendors, addressing any issues or concerns as they arise.
  6. Guest Services: Provide exceptional customer service to event attendees, answering inquiries, addressing requests, and ensuring a positive experience for all guests.
  7. Budget Management: Assist clients in tracking expenses and managing costs effectively to ensure events are delivered within budgetary constraints.
  8. Post-Event Evaluation: Gather feedback from clients and attendees to evaluate event success, identify areas for improvement, and implement enhancements for future events.

 

You might also have:

  • Previous experience in event coordination, hospitality management, or related field, with a strong understanding of event planning principles and best practices. 
  • Excellent communication and interpersonal skills, with the ability to build rapport with clients, vendors, and event attendees.
  • Strong organizational and multitasking abilities, with the capacity to manage multiple projects simultaneously and meet deadlines in a fast-paced environment.
  • Detail-oriented mindset with a commitment to delivering high-quality events and exceptional customer service.
  • Proficiency in Microsoft Office Suite (e.g., Word, Excel, PowerPoint) and event planning software (e.g., Cvent, Momentus) is advantageous.
  • Bachelor's degree in hospitality management, event management, or a related field (preferred).

 

You should know:

  • This role is on-site. On-site presence is required Monday through Thursday at our client’s campus. Fridays are remote days with the possibility of coming to campus based on event assignments. Weekend work is rare but also a possible requirement.
  • Our standard working hours are 8:30 AM -5:30 PM with an hour break.

We carefully consider a wide range of compensation factors, including your professional background and experience. The salary range for candidates in applicable jurisdictions in the US for the position of Onsite Event Coordinator  is between $60,000 - $68,000. The actual pay depends on your skills, qualifications, experience, geographical location, and project budget.
