We are seeking a full-time Office Administrator for the Headquarters of a growing, multi-unit company in the pet care industry. This is a flexible, hybrid position that will require 2-3 days a week in office. Must love pets!
LOCATION: Must be able to commute to Irving, TX
REPORTS TO: Chief Financial Officer & Executive Assistant
PAY: $47,000 - $53,000 DOE
CORE RESPONSIBILITES:
Office Management:
Maintain cleanliness and organization in break rooms, conference rooms, and general office space.
Manage office supplies, equipment, and office facilities.
Stock and maintain break room with water, beverages, and snacks.
Manage all incoming communications such as phone calls, emails, mail, and packages.
Coordinate storage and shipments of supplies with various internal departments.
Administrative Assistance:
Provide administrative support to the CFO by scheduling meetings, coordinating travel arrangements, completing expense reports, and preparing documents as needed.
Manage the CFO’s calendar, ensuring appointments and meetings are scheduled without conflict.
Prepare agendas, take meeting notes, and follow up on action items.
Coordinate and partner with the CFO’s Chief of Staff to ensure proper communication and execution.
Support projects as directed by the CFO, ensuring deadlines are met.
Perform notarizations for CEO and CFO, as needed. Company will provide Notary training and licensure.
General Administration:
Respond to general inbox inquiries and employment verification requests, as needed.
Maintain accurate and up-to-date records, as needed.
Handle confidential and sensitive information with discretion.
Assist with coordinating cross-functional initiatives between departments.
Assist the Executive Assistant with meetings, events, or other, as needed.
Proactively take on ad-hoc administrative tasks and assist in other areas, as needed.
REQUIREMENTS:
Education & Experience:
Associate’s or Bachelor’s degree (Preferred)
1-2 Years previous office management or administrative assistant experience (Required)
Skills:
Strong organizational and interpersonal skills with attention to detail
Ability to prioritize, coordinate, multi-task and demonstrate initiative
Knowledge and experience with Microsoft Office and Office 365
General comfort level with technology and an ability to quickly learn new software and systems
Ability to work both independently and collaboratively with a variety of internal teams
Proven ability to communicate effectively in verbal and written forms, including spelling, grammar and punctuation.
Skilled in problem-solving and critical thinking.
Professional and friendly demeanor.
Other:
Work is in an office setting and generally sedentary, but position may involve walking or standing for brief periods of time.
May be required to occasionally lift, carry, push, pull or otherwise move objects up to 25 pounds.
