Get to Know the Opportunity:
At Voya, we believe in well-planned and creative events, and are searching for an experienced meeting and event planner that is passionate, creative, detail oriented and focused on providing superb customer service. This role will work with Voya leaders, outside vendors, and other Voya planners to develop, execute, and manage events that strategically support the organization’s objectives. The primary responsibility will be to manage or support all aspects of meetings and events including sourcing, planning, implementation, and post event follow-up. This planner will also be responsible for maintaining accurate and complete financial records for each event utilizing department standard templates and reviewing and analyzing the outcome of each event to determine effectiveness. The best fit will be a meeting planner who can manage the daily details while maintaining big picture thinking to ensure the best outcomes.
The Contributions You'll Make:
- Plan details for small (10) to medium (100) in-person/virtual meetings and events, and coordinate logistics for on-site and off-site/virtual conferences and events as assigned.
- Meet strict deadlines and budget requirements. Examples may include but are not limited to Cvent website creation and registration, menu planning, room setups/layout, audiovisual ordering, coordination of marketing materials, collection of payments/receipts, and other administrative tasks.
- Coordination of travel, hotel and DMC vendors.
- Support registration process and provide input for meeting participants through coordination and execution of technology for registration and other types of communications as needed.
- Partner with internal customers to effectively manage spend and minimize Voya’s liability and risk in the meeting planning arena.
- Advise customers how to have creative, educational and impactful meetings which are cost effective, low risk and abide by company policies.
- Nurture and build relationships with vendors, venues, and other industry contacts to develop and implement creative and logistical aspects of all events. Negotiate services and fees with vendors.
- Provides on-site management during meetings. Makes on-site adjustments as necessary. On call 24 hours a day during meetings.
- Work evenings and weekends based on meeting dates.
- Flexibility to travel both domestically and internationally, as needed. Frequency is TBD — expectation is 1-2 trips per month.
- Position would ideally be based in the eastern half of the United States, located close to a major airport.
- Other duties and projects as assigned.
Minimum Knowledge and Experience:
- 3 + years related meeting planner experience
- Proficiency with Cvent registration tool used to manage registration and event logistic
- Strong interpersonal skills and customer service orientation
- Experience in maintaining and building business relationships
- Strong organization skills and meticulous attention to detail, including multitasking and time management
- Ability to work under tight and changing deadlines, handle pressure, and make quick decisions when necessary
- Ability to prioritize and work on multiple projects simultaneously
- Knowledge of the hospitality industry

Compensation Pay Disclosure:
Voya is committed to pay that’s fair and equitable, which means comparable pay for comparable roles and responsibilities.
The below annual base salary range reflects the expected hiring range(s) for this position in the location(s) listed. In addition to base salary, Voya offers incentive opportunities (i.e., annual cash incentives, sales incentives, and/or long-term incentives) based on the role to reward the achievement of annual performance objectives. Please note that this salary information is solely for candidates hired to perform work within one of these locations, and refers to the amount Voya Financial is willing to pay at the time of this posting.
Actual compensation offered may vary from the posted salary range based upon the candidate’s geographic location, work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer. Salaries for part-time roles will be prorated based upon the agreed upon number of hours to be regularly worked.
