The Marketing Administrative Specialist will play a vital role in supporting the Chief Marketing Officer (CMO) and the marketing team. This role serves as a key contributor to the overall culture, function, and effectiveness of the Marketing organization through a combination of administrative, culture, and project management responsibilities. This multifaceted position is designed for a proactive individual who can effectively manage various tasks, streamline operations, and connect the dots across various team efforts to enhance overall team efficiency and effectiveness. While not a requirement, someone who has experience in high-performing marketing organizations and has supported change management is a bonus! Responsibilities: Team Coordination and Communications:
- Serve as staff for Marketing Executive Team and Marketing Champions teams. Drive agendas, pre-read materials, and documentation of follow ups
- Champion a healthy culture by seeking feedback from the team, identifying and driving employee engagement initiatives that improve employee sentiment
- Partner with Internal Communications to develop team communication plans, ensuring alignment with Marketing leadership team
- Maintain Marketing specific documents related to functional strategy and goal planning
- Facilitate cyclical budget reviews and planning to ensure accountability and budget management across the team
- Coordinate cross-functional teams to ensure alignment, resource allocation, and milestone achievement on various initiatives (i.e. AI-driven workflow enhancements, team engagement models)
- Prepare updates to communicate project status and outcomes to the CMO and Marketing leadership
- Identify areas for process improvement and implement changes to enhance efficiency
- Manage the CMO's calendar, ensuring efficient time management and prioritization
- Act as a liaison between the CMO and other departments to facilitate communication and collaboration
- Schedule and coordinate meetings for Marketing leaders, preparing agendas and materials in addition to organizing necessary follow-up and action
- Manage travel arrangements, expense reports, and itineraries for marketing leaders
- Prepare and edit correspondence, communications, presentations, and other documents
- 5+ years of relevant experience, with at least 3 years within a Marketing function.
- Strong organizational skills and attention to detail, with ability to manage multiple priorities.
- Excellent written and verbal communication, and interpersonal skills.
- A proactive problem-solver with a collaborative mindset.
- Ability to work independently and handle confidential information with discretion.
- Self-starter who can model EFE values
