About the Role:

As a Revenue Cycle Operations Manager in a high-growth mental health startup, you will support the Revenue Cycle team and collaborate with Revenue Operations leadership to execute strategic project plans. Your responsibilities include overseeing and optimizing the entire revenue cycle process, managing a team of professionals, ensuring accurate and timely billing, coding, and collections, and implementing process improvements to enhance efficiency and client satisfaction. You will also work closely with various departments to align revenue cycle activities with organizational goals, providing strategic leadership and operational support as the department scales.

Management Responsibilities:

  • Ensures a safe, secure, and compliant work environment.
  • Accomplishes staff results by communicating job expectations; planning, monitoring, and appraising job results.
  • Build and manage a high-performing team, including hiring, training, and development.
  • Provide leadership to the team, including setting goals, providing guidance, and ensuring the team's overall success.
  • Set performance expectations and goals for team members. Conduct regular performance evaluations, provide feedback, and address performance issues. 
  • Identify skill gaps within the team and develop strategies for filling those gaps. Support employee development through training, mentoring, and coaching. Identify high-potential employees and create succession plans.

Responsibilities Include:

  • Lead a team of Revenue Cycle professionals dedicated to a culture of continuous improvement.
  • Oversee the completion of Revenue Cycle projects and the maintenance of ongoing initiatives, collaborating with various Octave stakeholders (e.g., Product, Finance, Client Experience).
  • Analyze data to prioritize projects and manage the daily throughput of the internal Revenue Cycle team and external vendors.
  • Provide guidance and oversee weekly Revenue Cycle team meetings.
  • Align team and individual goals with organizational objectives, providing guidance and support.
  • Serve as a resource for the Revenue Cycle team, troubleshooting complex issues such as intricate client insurance coverage scenarios and offering guidance on next steps.
  • Oversee customer service performance metrics to ensure the team meets client support SLAs.
  • Manages and resolves conflicts constructively, addressing and mitigating conflict situations to foster a cooperative workplace atmosphere and maintain team cohesion.
  • Stay informed about payor policies relevant to Octave's work, communicate updates to the team and ensure compliance with payor contracts.
  • Provide key metric analysis to the leadership team on a monthly and quarterly basis.
  • Serve as a subject matter expert in revenue cycle management, providing expert guidance and support to optimize billing, coding, claims processing, collections, and reimbursement strategies.

Preferred Qualifications:

  • Bachelor’s Degree in related field or equivalent work experience.
  • Minimum 4 years Healthcare Revenue Cycle experience; ideal candidate will have hands-on experience in all functions of the Revenue Cycle.
  • Experience devising, outlining, communicating, and implementing complex project plans and seeing them through to timely completion - with proven results.
  • Experience in billing and collecting insurance receivables, including familiarity with collections processes for both in-network and out-of-network insurance payers.
  • Experience in patient collections and managing escalations.
  • Proven track record of devising, communicating, and implementing complex project plans, ensuring timely completion and delivering tangible results.
  • Proficiency in data analysis, with the ability to present insights that inform business decisions effectively.
  • Strong foundation in customer service, both internally and externally.
  • Ability to work independently, set and meet deadlines, and effectively engage stakeholders to drive initiatives forward.
  • Demonstrates accountability for meeting deadlines and delivering on commitments.
  • Excellent written and verbal communication skills, with the ability to foster cross-functional relationships and collaborate effectively within teams.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer. 
  • Must be able to frequently communicate with others through virtual meeting applications such as Zoom and Google Meet. 
  • Must be able to observe and communicate information on company provided laptop. 
  • Move up to 10 pounds on occasion. 
  • Must be eligible to work in the United States without sponsorship now or in the future.

Octave is committed to pay equity. Starting pay for qualified applicants will depend on a combination of job-related factors, which may include education, training, experience, location, business needs, or market demands. The expected salary range for this role is set forth below and this range may be modified in the future. 

The salary range for this role is $93,600 - $100,000.

Additionally, this position is eligible for the following benefits: company sponsored life insurance, disability and AD&D plans. Voluntary benefits such as 401k retirement, medical, dental, vision, FSA, HSA, dependent care and commuter/parking options are also available. Octave offers generous Paid Time Off as well as paid parental leave benefits.
