Position Summary

The Manager, Health Information Management (HIM) at American Oncology Network (AON) is responsible for oversight and management of the HIM component within the Compliance Department at AON, including the supervision and direction of all AON HIM Specialists and other employees assigned to the HIM team.  Functions of the HIM component include processing the release of medical records at AON, including but not limited to, responses to subpoenas, litigation matters, class action suits, etc. The HIM Manager must have a thorough understanding of documentation requirements for release of medical records as well as a working knowledge of HIPAA and federal/state privacy regulations and be able to impart that knowledge by responding to questions from AON employees and physicians. The Manager, HIM will participate and assist in Medical Records Release training on an ongoing basis.  Will assist with audits and investigations and routinely assembles highly confidential and sensitive information. This position will also provide oversight of Cancer Registry enrollment and reporting at the AON practice locations.  Independent judgment and superior organizational skills are required to prioritize and organize a diversified workload, and to recommend changes to the HIM component’s practices and procedures. She/he must demonstrate a superior working knowledge of all facets of this important job role, relevant regulations, and organizational and departmental policies and procedures. 

Primary Key Performance Areas

KPA 1 – Health Information Management Communications

  • Manages work procedures to provide daily direction and communications to employees so departmental work is performed in a timely, efficient and knowledgeable manner.

  • Assists when needed to ensure the timely completion of all Compliance Medical Records requests and other issues.

  • Ensures efficient and appropriate communication with external copy service and evaluates outside vendor performance.

  • Maintains and ensures the confidentiality of all patient and employee information at all times.

  • Assists in communicating with attorneys, paralegals, and their staff.

KPA 2 – Health Information Management

  • Manages the ongoing workflow of the Medical Records Department.

  • Ensures that Medical Records Requests are being processed in a timely manner.

  • Research lost or missing records in accordance with established procedures.

  • When necessary, examine the EMR or paper record to ensure the release of records conforms to AON standards and the Designated Records Set (DRS).

KPA 3 – Records Release Policy Development and Training

  • Oversees development of effective medical records release policies and procedures.

  • Effectively communicate internal policies and guidelines to employees under her/his supervision.

  • Participate in training on Medical Records release and other guidelines for AON personnel throughout the company.

  • Communicates with Director of Compliance Operations and Chief Compliance Officer regarding changes in policies and procedures and offers best practice recommendations re: same.

KPA 4 – Compliance Department Responsibilities

  • Assist with identified needs per request of Chief Compliance Officer and Director of Compliance Operations.

  • Comply with all Federal and State laws and regulations pertaining to patient care, patients’ rights, safety, billing, and collections. Adhere to all Company and departmental policies and procedures, including IT policies and procedures and Disaster Recovery Plan.

  • Maintain all company equipment in a safe and working order.

  • Ensures teamwork areas remain in a neat and orderly manner. 

  • Performs other duties and projects as assigned.

KPA 5 – Office Systems

  • Proficient in the use of the required programs to accomplish job duties and follow up as needed. This includes but is not limited to Excel, Word, Outlook, OncoEMR and SharePoint.

  • Demonstrates knowledge and understanding of all Compliance systems (HelpLine, Policy Management, Sanction Screening, etc.).

Position Qualifications/Requirements

Education

  • Associates or bachelor’s degree in Health Administration, Health Informatics/Information Management or related area of study preferred.

  • High school education required.

Certifications/Licenses

  • Registered Health Information Administrator (RHIA), Registered Health Information Technician (RHIT), or Accredited Records Technician preferred.

Previous Experience

  • Two years’ experience in the management of health information, including records release, compilation of records and demonstrated knowledge of HIPAA/Privacy rules required. 

  • Experience in a supervisory or management role within health care administration preferred.

Travel: Less than 25%

Standard Core Workdays/Hours: Monday to Friday, 8:00 AM – 5:00 PM.
