Hybrid flexible are roles that can be performed remotely but require some level of onsite work/in-person interactions on a regular basis, require employees to live within a commutable distance and, since business needs vary by position and may change over time, managers will set expectations and flexibility regarding where and when work is performed.

Fully remote are roles that can be performed remotely, require employees to live in approved states and will have purpose-driven in-person interactions on occasion.

Job Summary

The Legal Operations Specialist plays an integral role on the Legal Operation’s team. Reporting to the Manager of Legal Operations and Technology the Legal Operations Specialist responsibilities include vendor management, E-billing and matter management systems, financial reporting, legal technology, and other operations functions.

Job Responsibilities

Vendor Management:

  • On-boarding vendors: Responsible for the process of collecting necessary documentation (W-9, PSEG Non-PO Vendor Registration Form, Electronic Funds Transfer Authorization Form, Bank Letter Representation Letter) from new and inactive vendors and vendors with modification requirements, in alignment with PSEG procedures and policies and verify that all information is consistent among all documents

E-billing System Database and Matter Management:

  • Maintain E-billing database for enterprise-wide legal matters assigned to Outside Counsel and Legal Service Providers, including coordinating with Managing Attorneys and Finance to obtain necessary data required for creating new matter and update existing matter profiles.
  • Manage and alien vendor and accounting information in E-billing database by coordinate with SAP and Finance, when necessary, for internal O&M, capital accounting, Purchase Orders Number (“PO”), Non-PO information, and SAP vendor number.
  • Billing Guideline Reviewer for invoices received in E-billing system, approx. 5,000 invoices a year.  Audit invoices for compliance with engagement agreements, Outside Counsel and E-billing guidelines and audit points.
  • Manage invoice status and resolve discrepancies with vendors and Managing Attorneys for timely resolution, including prompt payment of invoices.
  • Point-of-contact for Outside Counsel, Legal Service Providers, internal clients, and other external vendors for all billing inquiries.

Financial Reporting:

  • Responsible for the coordination and calculation of the monthly law enterprise-wide accrual process for submission to Finance.
  • Create, update or enhance existing E-billing reports and provide to internal and external Legal Operation’s clients.

Technology:

  • Co-Administrator for Law Department’s E-billing, document and management systems. Troubleshoot internal and external inquires, collaborate with Vendor Support team(s) and IT, manage user(s) security access.
  • Manage the timely resolution of all failed invoices submitted electronically to SAP, including proactively auditing E-billing system notifications.
  • Provide training to internal employees and external vendors on Law Department specific systems and applications, including training materials.
  • Subject Matter Expert and first resource for questions regarding Enterprise applications, including SAP, Ariba, Catalyst, Trapeze and other Accounts Payable ERP systems.

Job Specific Qualifications

  • Minimum 5 years supporting program management initiatives
  • Minimum 5 years supporting organizational financial activities (payments, accruals, etc.)
  • Minimum 5 years supporting professional services within a law firm or corporate environment
  • Bachelor’s degree in business, legal studies or operations, or commensurate experience

Desired Qualifications

  • Strong knowledge of, or ability to learn, Law Department specific applications/ E-billing and matter management Systems (i.e., Legal Tracker and iManage)
  • Strong knowledge of, or ability to learn, SAP, Ariba, Catalyst, and other Enterprise ERP applications
  • Strong technical capability
  • Detail orientated and highly organized, with the ability to leverage data to challenge the status quo
  • Strong communication skills (written and oral)
  • Strong proficiency in Microsoft Applications (Word, Excel and PowerPoint)
