Litigation Intake & Case Management
- Serves as the primary point of contact for intake and tracking of litigation matters, including new lawsuits, subpoenas, and regulatory inquiries.
- Maintains and updates the litigation docket, case management system, and internal databases with key case details, deadlines, and developments.
- Coordinates with outside counsel, internal stakeholders, and insurers to ensure timely reporting and tracking of litigation matters.
- Organizes and maintain case files, pleadings, discovery documents, and court filings.
- Manages litigation billing and invoice processing, ensuring accuracy and compliance with company policies.
- Reviews and tracks legal spend, working closely with outside counsel and finance teams to ensure proper budgeting and cost management.
- Assists in legal vendor management, including tracking engagement letters and reviewing invoices for compliance with billing guidelines.
- Drafts and edits legal correspondence, demand letters, responses to inquiries, and internal memoranda.
- Communicates with internal departments and outside counsel regarding litigation updates, document requests, and case status.
- Assists in preparing presentations, reports, and summaries of litigation matters for executive leadership.
- Maintains organized electronic and physical legal files, ensuring accessibility and compliance with retention policies.
- Schedules and coordinate meetings, depositions, and court appearances as needed.
- Handles confidential and sensitive information with the highest level of discretion.

- High School Diploma required. Associate’s or Bachelor’s degree preferred; Paralegal Certificate is a plus.
- Four (4) plus years’ experience in a legal department, group setting, or firm.in a legal assistant, litigation coordinator, or similar role, preferably in a corporate legal department or law firm.
- Experience working in construction, healthcare, or commercial litigation is a plus.
- Currently licensed or the ability to become licensed as a remote notary preferred.
- Or equivalent combination of education and/or experience.
- Litigation Knowledge: Familiarity with court procedures, filing systems, and case management tools.
- Billing Experience: Understanding of legal billing practices, invoice review, and legal spend management.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal software (e.g., eBilling systems, case management tools).
- Detail-Oriented: Strong organizational skills with a keen eye for accuracy in document management and billing.
- Communication: Excellent written and verbal communication skills, with the ability to draft professional correspondence and interact with stakeholders.
- Time Management: Ability to prioritize tasks, meet deadlines, and manage multiple cases simultaneously.
- Familiarity with litigation intake software, eBilling platforms, or case tracking tools.
- Prior experience in a corporate legal department handling litigation intake and management.
Salary: $28.61 - $38.63 per hour
