Requirements

The HR Assistant will provide administrative support to the Human Resources department, helping to ensure efficient and effective HR operations. This is a great role within our HR team for someone who has a few years’ experience in the field already and ideal for someone who is detail oriented, proactive and dedicated to fostering a positive, inclusive work environment. 

Key Responsibilities:

  • Administrative Support:
    • Manage HR correspondence, schedule interviews, and organize meetings.
    • Prepare and maintain employee files and documentation.
    • Assist in preparing HR reports and data for management.
    • Assists with the preparation of the performance review process.
  • Recruitment and Onboarding:
    • Support with job postings and screening resumes.
    • Coordinate interview schedules and communicate with candidates.
    • Support the onboarding process by preparing new hire paperwork, processing employee eligibility, orientation materials and scheduling training sessions.
  • Employee Records & HRIS Management:
    • Maintain and update employee records in the HR Information System, Paylocity.
    • Ensure data accuracy and confidentiality in accordance with organization policies and legal requirements.
    • Processing changes to employee information within Paylocity
    • Reviews, tracks, and documents compliance with mandatory and non-mandatory training. This may include safety training, anti-harassment training, professional licensure, and aptitude exams and certifications.
  • Benefits Administration:
    • Assist with benefits enrollment and answer employee inquiries regarding benefits, policies, and procedures.
    • Support the coordination of employee benefits and HR initiatives.
  • Employee Relations & Support:
    • Serve as a point of contact for employee questions regarding HR policies and procedures.
    • Support with investigation on employee concerns as needed
    • Help coordinate employee engagement and recognition programs.
    • Support efforts to maintain a positive, respectful, and inclusive work environment.
  • Compliance & Confidentiality:
    • Serve as a trusted advisor and provide guidance to employees and managers on HR policies, procedures, and employment-related matters. Ensure HR policies and procedures are accurately documented, distributed, and adhered to by employees. Provide guidance and clarification to employees regarding HR policies and practices.
    • Handle sensitive information with discretion.
    • Ensure compliance with federal, state, and local employment laws and regulations, organization policies and recommended best practices.
    • Assist in maintaining updated knowledge of HR best practices.
    • Performs other related duties as assigned.

Knowledge, Skills and Abilities:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
  • 1-2 years of experience in an HR or administrative role.
  • Strong Communication Skills: Excellent written and verbal communication to interact with employees at all levels. 
  • Attention to Detail: Ability to maintain accurate employee records and handle sensitive information with confidentiality. 
  • Organizational Skills: Efficiently managing multiple tasks and prioritizing workload. 
  • Technical Proficiency: Familiarity with Paylocity, Airtable, Monday, Slack.
  • Basic Understanding of HR Laws in CA: Awareness of employment regulations and compliance requirements
  • Working understanding of human resource principles, practices and procedures.
  • Excellent interpersonal, negotiation, and conflict resolution skills.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Alignment with our SEL skills of self-awareness, problem-solving, advocacy, collaboration, and empathy.

Physical Requirements: 

  • Prolonged periods of sitting at a desk and working on a computer. 
  • This position requires the ability  to occasionally lift 25 pounds to a height of 3-4 feet

Location Requirements:

This is a remote position; however, candidates with a strong, demonstrated background in California state employment laws are preferred. 

COMPENSATION:

This is a full time, regular non-exempt position. The pay is a range of $32 - $37 hourly and will be commensurate with experience and location.
