The DCX Client Services Home-Based Executive Assistant will be the key player in supporting the executives' day-to-day by providing executive-level administrative support and ensuring smooth operations within the organization. With a focus on multitasking and attention to detail, you will have the opportunity to work on a variety of projects and be a key member of our client's team. WHAT YOU WILL DO 

Travel Coordination

  • Provide flight options based on required dates and locations

  • Book flights after confirmation of the selected route

  • Arrange all travel logistics, including car rentals and hotel accommodations

  • Create detailed itineraries and integrate all information into the calendar

  • Liaise with airlines when schedule changes or issues arise

Calendar Management

  • Schedule meetings with internal and external stakeholders, coordinating availability across parties 2.

  • Offer multiple scheduling options for external engagements 3.

  • Manage rescheduling as needed 4.

  • Organize personal appointments for key executives (Dudes, CEO) and their families as requested, including medical appointments, haircuts, etc.

Expense Management

  • Complete and submit monthly expense reports for senior executives

  • Categorize expenses daily, ensuring alignment with calendar activities

  Catering Coordination

  • Place orders through EZ Cater or other services for all on-site meetings.

Special Occasion Planning

  • Arrange restaurant reservations and flower delivery for wedding anniversaries Coordinate or remind executives to secure a babysitter

CRM Management

  • Ensure accurate CRM entries for key contacts, including.

  • Athletes, video guests, and their representatives

  • Advertisers

  • Investors

  • Board members

  • Employees

  • Oversee hospitality and gifting, including:

  • Sending birthday gifts to VIPs and their families

  • Organizing annual holiday card distribution

Project Management Support

  • Attend meetings and send follow-up action items to participants

  • Track outstanding tasks and prompt completion as necessary

Onboarding Assistance

  • Support onboarding for new employees

Event Planning and Execution

  • Manage logistics for Annual General Meeting, Christmas Party, and other events, including:

  • Contract organization and document management

  • Budget tracking and reconciliation

  • Ordering and tracking of event gifts

  • Handling registrations, guest follow-up, and dietary requirements

Office Supply and Vendor Management

  • Maintain an organized process for supply orders:

  • Track order frequency, costs, and preferred vendors

  • Manage food and beverage orders from Sam’s Club, Costco, etc.

  • Oversee office supply replenishment from Sam’s Club, Office Depot, etc.

  • Track team apparel sizes and arrange annual orders

  • Order miscellaneous items, such as printer ink, as needed

WHAT WE LOOK FOR 

  • Education: Bachelor's degree in Business Administration, Communications, or a related field.  

  • Experience: 1-3 years of proven experience as an Executive Assistant, Executive Assistant for a C-Suite level report, or other relevant administrative support experience. 

  • Language Proficiency: Strong verbal, written, and English communication skills. 

  • Working schedule: Ability to work overnight/graveyard shifts in Philippine time or within US operating hours.  

  • Technical Skills: Proficient with Microsoft Office Suite or equivalent software, with the ability to learn new or updated software. 

  • Industry Specific Software/Knowledge:   

  • Exposure to project management tools. 

  • Someone who is highly organized, proactive, and detail-oriented 

  • Ability to function well in a high-paced and, at times, stressful environment. 

  • Ability to organize a daily workload by priorities. 

 

WHAT WE OFFER 

  • Salary Range: Php 35,000- Php 45,000  

  • Job Type: Full-time 

  • Work Shift: 8:00 AM - 5:00 PM CST (USA) 

  • Workdays: Monday through Friday (USA)
