OVERVIEW

We are seeking a highly organized and detail-oriented Hackathon Coordinator to support the execution of internal hackathons. This role plays a pivotal part in fostering a culture of innovation, ensuring inclusivity, and delivering a well-organized and impactful hackathon experience.

The ideal candidate is a self-starter, an engaging writer, and a skilled multitasker who thrives in a fast-paced environment, managing multiple projects with precision. Exceptional communication skills and a keen eye for detail are essential to ensure a seamless and engaging hackathon experience.

The Hackathon Coordinator will work closely with stakeholders, leaders, and a dedicated program team to manage operations, logistics, and participant engagement. This person will be responsible for crafting compelling communications, organizing global experiences, and ensuring all logistical and operational aspects of the hackathon are coordinated from start to finish.

  RESPONSIBILITIES
  • Manage logistics and operations throughout the planning, execution, and post-event phases to ensure seamless coordination.
  • Write attendee-facing communications and develop resources (emails, Slack posts, FAQs, presentations) to drive engagement and participation.
  • Support budget administration, including expense tracking and financial record management.
  • Recruit, train, and coordinate volunteers and judges, ensuring they are well-prepared to contribute to a successful event.
  • Organize global participant engagement initiatives for both remote and in-office teams, fostering an exciting and inclusive experience.
  • Oversee post-event administrative tasks, including feedback documentation, follow-ups, and finalizing logistics.
  • Analyze participant feedback and create post-hackathon reports summarizing impact, key takeaways, and recommendations.
  • Cultivate strong relationships with internal teams to encourage ongoing innovation.
  QUALIFICATIONS
  • A seasoned project coordinator, executive assistant, or operations specialist with experience managing complex virtual events, engagement programs, or innovation initiatives.
  • A strong writer who can craft compelling messaging and drive enthusiasm across an organization.
  • A collaborator with the ability to align multiple stakeholders, manage competing priorities, and drive execution across distributed teams.
  • Passionate about enabling an innovation culture and helping teams explore new ideas in a structured and impactful way.
  • Experienced in working with technical teams and understanding how to engage and communicate with engineers, designers, and product managers.
  • A self-sufficient problem solver who identifies opportunities and proactively implements solutions.

CONTRACT DETAILS:

  • Hourly Rate: $25/hr, based on experience.
  • Duration: 2 months / 10-15 hours per week 
  • Start Date: To be determined, but aiming to start within the next few weeks.
  • Fully Remote (in the US)
