The Fulfillment Specialist is responsible for drafting and maintaining client documentation, managing fulfillment workflows, and working with clients, internal stakeholders, and external vendors to ensure deliverables are accurate, timely, and compliant. It requires a blend of strong documentation skills, attention to detail, and the ability to thrive in a fast-paced, deadline-driven environment.
Responsibilities:
- Plan Document Drafting & Editing: Own the drafting, editing, and revision of Summary Plan Documents (SPDs) in alignment with client needs and regulatory standards.
- Client Collaboration: Join client calls to gather information, clarify plan details, and ensure alignment on documentation deliverables.
- Fulfillment Operations Support: Support with ID card, welcome letter, and Explanation of Benefits (EOB) production.
- Workflow Management: Track, prioritize, and complete tasks using Jira and other internal tools. Collaborate across departments to support implementation and ongoing servicing.
- Vendor & Performance Oversight: Coordinate with external print vendors to manage timelines and quality standards for physical mailings when needed.
- Quality & Compliance: Perform audits to ensure deliverables meet internal quality standards and compliance regulations.
Qualifications:
- Industry Knowledge: Prior experience in healthcare, benefits administration, or related fields is a strong plus.
- Documentation Experience: Experience drafting plan documents or other benefit-related materials is highly preferred.
- Attention to Detail: Excellent proofreading and editing skills with a strong commitment to accuracy.
- Technology Proficiency: Proficient in Microsoft Office (especially Word); familiarity with Jira, SQL, and PDF editing tools is preferred.
- Problem Solving & Adaptability: Strong critical thinking, organization, and ability to pivot with changing client requests.
- Communication Skills: Comfortable speaking with clients, translating complex information, and working across teams with minimal supervision.
