The Fleet Manager is responsible for the overall management of the entire fleet across group ensuring that the business runs a compliant, safe, cost effective and efficient fleet. You will be responsible for contributing to and driving forward the fleet strategy to ensure compliance and scalability as well as ensuring the day-to-day operational processes are adhered to by all drivers across the business.

Principal Responsibilities & Duties 

Driver Management

  • To be the main point of contact for all fleet queries via the Fleet inbox and ensuring that queries are responded to in a timely manner, liaising with other areas such as People & Culture when required
  • Ensuring that driver checks are carried out with the DVLA before allowing an employee to drive for business purposes to ensure compliance
  • Maintaining the driver system, Fleet Check, to ensure that accurate records of vehicle are always available
  • To be the point of contact for onboarding Acquisition’s fleet, validate data, introduction to Focus Group’s policies and FleetCheck/Driver App/LicenceAssured, training and support
  • Liaise with nominated point of contact at Acquisition to obtain information and communicate with internal departments

Compliance & reporting

  • Responsible for generating regular reports on fleet performance, including the status of driving licence checks and incidents/accidents as well as provision of reports for ESG and ESOS reporting and statutory reporting such as P11D
  • Supporting the annual insurance renewal for the fleet and ensuring that the cover is the best available for the group
  • Liaising and attending health and safety meeting to provide evidence for driver training programmes to promote safe and efficient driving practices
  • Report to the Health & Safety Committee any incidents, accident and risk information/statistics
  • Creating and maintaining Focus Group’s Fleet Manual and associated paperwork

Vehicle maintenance & procurement

  • Responsible for Procuring new vehicles for the fleet, considering factors like cost, efficiency, and suitability for different roles and in line with the Group’s strategy
  • Working closely with nominated providers ensuring that best value is achieved, conducting benchmark reviews annually
  • Managing the renewal and disposal process for older vehicles, including selling, recycling, or scrapping them
  • Arranging and maintaining appropriate insurance coverage for the on and off boarding of vehicles
  • Ensuring regular maintenance and servicing for all vehicles to remain safe and reliable, in line with legal and regulatory requirements
  • Handling repairs promptly and efficiently to minimise downtime and maintain productivity
  • Monitoring fuel consumption and implementing strategies to optimise fuel efficiency
  • Liaising with Finance team who manage fuel cards or accounts for drivers to ensure proper tracking and control of fuel expenses

Other

  • Liaising with operations and sales departments at head office and regionally, to understand their vehicle needs and ensure fleet resources are allocated effectively
  • Staying informed about advancements in fleet management technology and exploring ways to leverage them for improvement
  • Supporting the Company’s carbon neutrality goals and strategy through initiatives like EV salary sacrifice schemes and ensuring that electric vehicles are available to employees
  • Identifying opportunities for process optimisation and implementing best practices to enhance fleet efficiency and effectiveness

Requirements

  • Proven experience of Fleet Management in a commercial environment
  • Proven ability in project management and change management
  • Excellent data management and analytical skills
  • Excellent communication and interpersonal skills with the ability to present complex information to key stakeholders
  • An agile approach to work with the ability to focus on the areas that add the most value
