We’re growing, and with that growth comes the need for stronger financial processes, HR support, and executive assistance. We’re looking for a Finance & Operations Coordinator who can help us manage bookkeeping, payroll, HR administration, and executive support for the leadership team. This is an integral role in ensuring our financial health, operational efficiency, and company culture continue to thrive.

What You’ll Do

Financial & Bookkeeping Support

  • Manage company’s QuickBooks Online (QBO) books to ensure accurate and up-to-date financial records.
  • Handle revenue and expense entry, bank reconciliation, and monthly financial close.
  • Generate custom financial reports, KPIs, and budget tracking.
  • Maintain and update the Chart of Accounts, ensuring accurate classification of expenses and revenues.
  • Assist with financial planning and provide reports for creditors, attorneys, and financial partners as needed.
  • Assist with billing, invoicing, and payment processing for clients.
  • Support accounts receivable collections and liaise with outside agencies if necessary.
  • Oversee accounts payable, processing payments to vendors, contractors, and staff.

Human Resources Administration

  • Manage payroll processing and benefits administration via TriNet.
  • Support new hires with payroll onboarding and benefits enrollment.
  • Track and manage 401(k) contributions through John Hancock Plan Sponsor.
  • Conduct periodic employee satisfaction surveys to support a strong company culture.
  • Maintain HR case management and submit support requests via TriNet.
  • Assist with employee offboarding, including final paycheck verification and severance agreements.

Executive Assistant & Operations Support

  • Provide day-to-day administrative support to the C-suite, including the CEO, COO and CTO.
  • Manage calendars, schedule meetings, and coordinate internal and external communications.
  • Assist with travel booking for trade shows and company events, including flights, lodging, and transportation.
  • Lead procurement efforts to source affordable equipment, software or other purchases.
  • Help facilitate departmental meetings, note-taking, and action item tracking.
  • Support special projects and company-wide initiatives as assigned by leadership.
  • Assist in maintaining company documentation, SOPs, and start building and organizing internal knowledge bases.

Systems & Integration Support

  • Help integrate QBO with HubSpot CRM to ensure seamless financial tracking.
  • Oversee financial integration with merchant processing systems (NDMS/USAePay by NMI).
  • Collaborate with internal teams to automate financial workflows and reporting.

Requirements

What We’re Looking For

We need someone who thrives on organization, problem-solving, and working across multiple functions in a fast-growing company. The ideal candidate will have:

  • 3+ years of experience in bookkeeping, HR administration, and executive support.
  • Experience with QuickBooks Online (QBO) and payroll processing (preferably via TriNet or similar PEO).
  • Familiarity with HubSpot CRM and financial integrations is highly desired.
  • Strong attention to detail and ability to handle sensitive financial and HR information.
  • Experience working in a remote, fast-paced environment with minimal supervision.
  • Excellent communication skills and the ability to collaborate across multiple vendors and stakeholders.
