Compensation Range: $18.00 - $20.00 hourly

POSITION OVERVIEW:

The Facilities Coordinator for the Facilities Department is responsible for supporting the day-to-day maintenance of centers to ensure a safe and efficient working environment. This includes sourcing and coordinating vendors for services, facilitating daily work/service orders, ensuring compliance with established health, safety, and security regulations, and assisting with other tasks related to the tracking and oversight of departmental functions.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Represent CARD professionally and ethically to internal and external stakeholders

  • Adhere to strict confidentiality and HIPAA guidelines, ensuring patient information is protected at all times.

  • Assist in the upkeep, maintenance, and repair of centers and their associated equipment

  • Source appropriate vendors for consideration

  • Work collaboratively and professionally with multiple team members and vendors to ensure successful execution of repairs, maintenance tasks, and other services within expected timelines

  • Work collaboratively and professionally with multiple team members to ensure that facilities-related protocols are followed

  • Maintain needed and preventative maintenance schedules with appropriate tracking

  • Ensure that all facilities are clean, functional and well-maintained, and meet established workplace standards

  • Ensure proper functioning of building systems, including but not limited to camera systems, HVAC, electricity, and plumbing

  • Manage invoices and related documentation for timely processing of vendor payment with Accounts Payable

  • Ensure proper and accurate accounting of expenses for Finance

  • Respond to center related issues in a timely manner, working with efficiency towards resolution alongside onsite staff

  • Perform routine audits with efficiency and accuracy to assess all center equipment, maintenance, and safety hazards

  • Work collaboratively and professionally with multiple team members and vendors to ensure that safety and security equipment are functioning consistently and that needed repairs and/or adjustments are addressed in a timely manner

  • As new centers open, arrange the purchase, shipment, and installation of all center equipment

  • Assist the Safety Committee in gathering security footage for the purposes of investigation and audit

  • Maintain accurate record keeping and assist in the management of facility-related materials

  • Handle various projects and tasks, as assigned by the department

REQUIREMENTS:

  • High school diploma or equivalent required

  • 1-year prior experience in facilities, maintenance, or related field preferred

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong organizational and problem-solving skills

  • Ability to work independently and as part of a team

  • Good communication and interpersonal skills

  • Proficiency in Microsoft Office

  • Ability to manage multiple priorities and deadlines, in a fast-paced environment

  • Detail-oriented with a strong operational focus

  • Ability to work well under pressure and adapt to changing environments

  • Ability to learn multiple technology platforms quickly

  • English proficiency, both verbal and written, is required

WORK ENVIRONMENT:

  • Includes a typical remote office environment, with minimal exposure to excessive noise or adverse environmental issues. May include travel up to 5%.

PHYSICAL REQUIREMENTS:

  • Ability to sit for prolonged periods of time

  • Ability to work on a computer for prolonged periods, as tasks require

  • Ability to carry up to 25 lbs.

  • Ability to use and speak on the phone and via teleconference, as needed throughout the day
