We are seeking a highly organized and detail-oriented Executive Manager, Human Resources to join our HR department. This pivotal role will support senior HR leadership (Chief Human Resources Officer and Chief Culture Officer) by managing complex calendars, overseeing key projects, working on various HR related efforts, and providing exceptional administrative support. The ideal candidate will be adept at multitasking, managing difficult or sensitive situations with professionalism, and ensuring the smooth operation of daily HR activities. This role will also take on other HR related special projects as assigned, thus prior familiarity and experience in a Human Resources department is important. This role requires someone who thrives in a fast-paced environment, is flexible and can manage a variety of tasks with precision and confidentiality.

The role will provide seamless care of critical external and internal stakeholders; thus, the manager must have strong communications and reasoning skills. Using strong personal judgement when managing the diverse needs of the Executive team, internal and external partners.  Operational decision making will be required, as this manager will make timely decisions on behalf of the leaders.

The Executive Manager will have proven customer/stakeholder knowledge and organization and time management skills to complete a high volume of varied responsibilities in a fast-paced setting with excellent attention to detail.  Have superb communication skills and produce well thought‐out, professional correspondence free of grammatical and spelling errors.

Be an excellent relationship builder; able to demonstrate a high level of tact, discretion, and diplomacy with all internal and external stakeholders. Must also demonstrate ability to maintain confidential/sensitive information.

Executive Manager, Human Resources Additional Duties:

  • Calendar Management: Efficiently manage and prioritize the schedules of senior HR executives, ensuring timely coordination of meetings, appointments, and travel arrangements.

  • Project Management: Oversee and manage various key HR initiatives and projects, ensuring they are completed on time and within scope. Collaborate with HR team members to execute projects effectively.

  • Multitasking and Time Management: Balance multiple high-priority tasks simultaneously while maintaining attention to detail and meeting deadlines.

  • Managing Difficult Situations: Demonstrate poise and professionalism in managing sensitive HR matters, resolving issues, and assisting with employee concerns, all while maintaining confidentiality.

  • Communication and Coordination: Function as a liaison between senior leadership and other departments, ensuring that communication is clear and consistent, and that all parties are aligned on priorities and expectations.

  • Document Preparation and Management: Prepare reports, presentations, and documentation for meetings and initiatives. Maintain organized records and ensure that documents are easily accessible.

  • Problem-Solving: Address challenges and obstacles with creative solutions, remaining calm under pressure while managing difficult or stressful situations.

  • Administrative Support: Provide day-to-day administrative support to the HR department, including managing emails, preparing meeting agendas, and maintaining accurate files.

Key Responsibilities

Responsibility #1– 40%

  • Collaborate directly with the Director, Executive and Board Affairs to prepare for and ensure successful meetings with the Board of Directors.  Specific focus for this role will be on the Compensation Committee preparation but will help as needed for any Board related activities.

  • Maintain the Executive’s schedule, including day-to-day and long-term management of meetings, projects, and priorities

  • Schedule all meetings and travel, including prioritizing meetings and communicating all relevant details to participants

  • Balance conflicting priorities to manage workflow, ensure the completion of essential projects, and meet critical deadlines

  • Ensure Executives are prepared for upcoming appointments by gathering materials necessary for each meeting

  • Collect and assemble information for presentations, projects, and strategic planning

  • Serve as the first point of contact for a wide variety of high-level relationships between Executive Team and external contacts

Responsibility #2 – 40%

  • Oversee and manage various key HR initiatives and projects, ensuring they are completed on time and within scope. Collaborate with HR team members to execute projects effectively.

  • Coordinate and manage special projects, including collaborating with staff to assure projects meet deadlines

Responsibility #3 – 10%

  • Facilitate, build, and monitor relationships including tracking contacts in database and managing follow-up

  • Manage phone, email and postal mail inquiries and respond appropriately

  • Draft and edit correspondence, articles, reports and presentations

Responsibility #4 – 10%

  • Take on tasks to support the work of Premier’s programs, operations, and overall mission

  • Work as a member of the team, willingly providing back‐up support for co‐workers when appropriate and actively supporting group goal

Work Experience:

Years of Applicable Experience - 5 or more years

Education:

High School Diploma or GED (Required)


 

Required Certifications/Licensing

PHR preferred

  • Attention to Detail: Keen attention to detail to ensure accuracy in all types of documentation.

  • Proficiency with office productivity tools such as Microsoft Suite (Word, Excel, PowerPoint, etc.) and other HR-related applications.

  • Problem-Solving Skills: Advanced ability to manage issues, resolve conflicts professionally, and provide strategic solutions while remaining calm and composed in a high-pressure situation.

  • Time Management: Efficient time management skills to meet deadlines and manage workload effectively.

  • Interpersonal Skills: Strong interpersonal skills to build positive relationships with employees, management, and external partners.

  • Confidentiality: Ability to maintain the confidentiality of highly sensitive information.

  • Adaptability: Flexibility to adapt to changing priorities, tasks, and business needs.

  • Self-starter: Demonstrated self-starter qualities and collaborative mindset to work effectively within the HR team and with other departments.

Experience:

  • 5+ years of experience in an executive administrative role within an HR department

Education:

  • Bachelor’s degree in Business Administration, Human Resources, or related field

Working Conditions: Remote


 

Travel Requirements: Travel 1-20% within the US


 

Physical Demands: Sedentary: Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves remaining stationary most of the time. Jobs are sedentary if movement is required only occasionally, and all other sedentary criteria are met.


 

Premier’s compensation philosophy is to ensure that compensation is reasonable, equitable, and competitive in order to attract and retain talented and highly skilled employees. Premier’s internal salary range for this role is $64,000 - $118,000. Final salary is dependent upon several market factors including, but not limited to, departmental budgets, internal equity, education, unique skills/experience, and geographic location. Premier utilizes a wide-range salary structure to allow base salary flexibility within our ranges.
