Summary
Guidewire is looking for a dynamic, take-charge Executive Assistant to support four (4) of our leaders: Chief Product Officer, SVP & General Manager of Analytics, SVP & General Manager of InsuranceSuite, and General Manager of Claims and InsuranceNow.The ideal candidate will play a central role in keeping the business operations and activities organized, on track, and moving forward for the executives and their teams. Candidates must have exceptional communications skills, be agile, have a keen eye for detail, and possess the ability to manage multiple tasks efficiently while working productively in a fast-paced, team-oriented environment. We’re looking for someone who aspires to be a business partner and take ownership of the role.
Job Description
Responsibilities
Communicate cross-functionally with senior leaders, board members, and customer executives.
Manage multiple calendars and coordinate travel and meeting arrangements for up to 4 executives.
Provide administrative support including email screening, calendar and phone management, travel arrangement, expense reports, and meeting coordination.
Coordinate internal and external high-level meetings and conferences.
Assist with event planning and special projects including recurring management meetings, leadership offsites, and department town halls.
Keep a pulse on other teams and connect the dots between cross-functional teams.
Create presentations and visuals for executive-level audiences.
Create, maintain, and update team overview pages for consistent, current, and accurate documentation.
Manage the teams’ distribution lists for accurate and timely communication.
Improve recognition programs, such as the monthly Cause for Applause award.
Collaborate with managers to ensure comprehensive onboarding for new hires and contractors.
Maintain confidentiality and integrity on sensitive projects.
Availability to travel domestic and international as required (~10%)
Core Qualifications and Key Competencies
Bachelor’s degree preferred and at least 5 plus years in an administrative role with C-level executives in a fast-paced public technology company or supporting a client-facing team.
Ability to handle highly sensitive and confidential material and information.
Excellent verbal and written communication skills.
Proven track record of effective leadership skills.
Proactive go-getter who anticipates the needs of executives.
Willingness to be available as required and/or upon short notice.
Detail-oriented, intelligent, confident, high integrity.
Strong organizational, project, and time management skills.
Sense of urgency and efficiency in completing work and meeting deadlines.
Ability to take self-initiative, be proactive, and offer creative solutions to problems.
Expert knowledge on Google Suite (Slides, Docs, Sheets) and web applications. Experience with enterprise apps preferred (HR, expense reporting, travel, purchasing, etc.).
