Overview

IDG is seeking a seasoned Executive Assistant to support the Sales & Technology. The Executive Assistant will play a pivotal role in ensuring efficiency, effectiveness, and strategic focus. This position demands exceptional organizational skills, a high level of discretion, and the ability to handle sensitive information with confidentiality. The seasoned Executive Assistant will have a high sense of urgency and problem-solving skills, as well as the capacity to handle a wide range of responsibilities, including administrative tasks, communication management, project coordination, and strategic support.

This role is based on our Needham MA location with a hybrid work schedule to come into the office 1-2 days per week. (We will also consider qualified candidates 100% remote in an approved US East Coast location).

Responsibilities

Administrative Support:

  • Manage executives' calendar, schedule appointments, and coordinate meetings, conferences, and travel arrangements.
  • Prepare and organize documents presentations, and reports for internal and external meetings.
  • Handle expense reports, invoices, and other financial documentation.
  • Organize team meeting cadences, including preparation of agendas, notetaking and following up with responsible parties on associated actions and deadlines

Communication & Relationship Management:

  • Serve as the primary point of contact between the executives and internal/external stakeholders.
  • Build and maintain strong relationships with key stakeholders, including executives and external partners.
  • Act as a liaison between the executive and other team members, fostering effective communication.

Event Planning:

  • Coordinate and plan special events and team meetings as required.
  • Ensure all logistical arrangements are in place, including travel, venue selection, catering, and invitations.

Qualifications

  • Bachelor's degree or equivalent experience
  • 10-15 years of proven experience as an Executive Assistant supporting C-level executives.
  • Exceptional organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in office software and tools, including Microsoft Office Suite and calendar management applications.
  • Strong problem-solving skills and the ability to work independently.
  • High level of emotional intelligence and mindful stakeholder management.
  • Discretion and confidentiality in handling sensitive information.
  • Adaptability and the ability to thrive in a fast-paced, ambiguous and dynamic environment.

Salary range and additional compensation, including discretionary bonuses and incentive pay, are determined by a rigorous review process. This process considers the experience, education, certifications, and skills required for the specific role, equity with similarly situated employees, as well as employer-verified US region-specific market data provided by an independent 3rd party partner. The expected total annual compensation, depending on location and experience, is between $90,000 and $110,000 and is inclusive of base salary and variable compensation (if applicable).
